Orlando -
Downtown Schedule:
Full-Time | Primarily Onsite (1 remote day/week after training)
Compensation:
$85,000-$90,000+

Competitive benefits package including PTO, health benefits, and 401(k) A well-established law firm in Downtown Orlando is seeking an experienced and highly organized Firm Administrator to oversee daily office operations, accounting functions, HR administration, and firm support activities. This is a key leadership position for someone who thrives in a fast-paced legal environment and enjoys wearing many hats while helping keep a growing firm running efficiently. The ideal candidate will have prior law firm administration experience, strong attention to detail, and the ability to manage confidential information with professionalism and discretion. Key Responsibilities Accounting & Financial Operations Balance and reconcile bank accounts and firm credit card statements Review and approve Positive Pay transactions daily Process payroll, edit timecards, and input payroll journal entries Process 401(k) contributions and payroll-related administrative tasks Handle accounts payable, including processing firm invoices and vendor payments Manage trust account checks, invoices, disbursements, and daily bank deposits Monitor and follow up on accounts receivable and monthly invoice write-offs Download and process client payments through Wells Fargo and other payment portals Prepare and process annual 1099s for vendors Assist with billing setup for new clients and insurance company accounts Human Resources & Recruiting Coordinate onboarding and offboarding for employees across payroll, benefits, and internal systems Maintain employee records in Employee Navigator, payroll systems, and 401(k) platforms Post open positions, communicate with recruiters, review resumes, and coordinate interviews Create Zoom links and schedule interviews for attorneys and firm leadership Manage employee access to office systems, phone systems, and equipment Send employment termination notifications and update internal systems accordingly Office & Firm Administration Oversee day-to-day office operations and vendor relationships Maintain office equipment, copier/scanner access, and phone systems Order office supplies and coordinate building maintenance requests Process annual filings, business tax receipts, and compliance-related deadlines Monitor security awareness notifications and coordinate employee access updates Support attorneys and staff with administrative and operational needs Complete required compliance reporting and government surveys Qualifications Prior experience working in a law firm environment is required 3+ years of experience in office management, legal administration, HR, accounting, or firm operations Strong understanding of payroll, billing, AP/AR, and reconciliation processes Experience handling confidential financial and employee information Excellent organizational skills with the ability to manage multiple priorities Proficiency with Microsoft Office and legal/accounting software systems Strong communication skills and a proactive, team-oriented mindset Apply Now!
