Job Description

As an Accounting and Payroll Generalist at Universal Security, you will be responsible for maintaining financial records, running reports for management, and recording a wide range of financial transactions. These duties also include administrative and bookkeeping assistance to accountant and team executives, preparing financial statements, balancing billing, and payroll statements, reconciling and reporting any discrepancies, confirming the accuracy of accounting database information. Our office team members wear many hats and assist other departments. This position would also include other key responsibilities such as:
- Efficiently and accurately being able to enter information in a payroll platform (Such as
QUICK-BOOKS
) and also produce reports when needed.- Review electronic timecards for accuracy and completeness; resolving any exceptions and missed punches before processing by working with supervisors responsible for timecard approvals; generate timecard report totals and export file for further payroll processing.
- Open weekly payroll, import and balance hours, manually enter any adjustments, and add any required deductions such as voluntary withholding agreements, garnishments, levies, child support, or other court ordered withholdings. Complete local payroll processing, notifying Corporate Treasury by required deadline.
- Respond to employee payroll inquiries with courtesy and timeliness; investigate issues and make corrections as necessary while referring complex cases to upper management and/or Human Resources as appropriate.
- Work closely with Human Resources in the administration of a variety of employee policies and practices.
- Review invoices for accuracy, prepare check requests or purchase orders manually or through financial system as appropriate; obtain approvals and ensure timely payment.
- Prepare month end general accruals and account reconciliations and perform a variety of other routine accounting tasks that support forecasting, budgeting, and internal control activities.
- Provide a variety of routine office and clerical support as required including the preparation of documents, spreadsheets, presentations, or other communication.
- Perform other duties as assigned
- Creating and maintaining spreadsheets in Excel,
- Perform clerical work and interoffice support
- reviewing and accurately entering information in a payroll platform (such as QuickBooks)
- Invoicing and reconciliation for varying accounts
- Maintaining and promoting excellent vendor relations
- Verifying claims and processing orders and deposit slips
- Ensures electronic timecards are accurate and approved by Managers prior to payroll processing dates.
- Sends correspondence to team members as needed for payroll-related inquiries.
- Updates Excel spreadsheets to monitor employee pay rates, client billing rates, raises, bonuses, uniform payments, or other manual uploads as needed.
- Assists in accurate and timely processing of payroll updates including new hires, terminations, and changes to pay rates of hourly employees.
- Runs accurate and timely reports for weekly and bi-weekly payrolls in an organized and structured system.
- Assists in audits by providing records and documentation to Payroll Manager or HR Director on an on-needed basis.
QUALIFICATIONS/REQUIREMENTS
Be at least 21 years of age Possess a high school diploma or equivalent Possess effective written and oral communication skills Ability to deal with all levels of personnel and the general public in a professional and effective manner Experience with Microsoft Word, Excel Experience with QuickBooks Detail oriented Organizational skills are a must Strong analytical and problem-solving skills. Ability to handle/organize documents Security and or customer service experience is preferred At least two years of related experience is preferred. As a condition of employment, employee must successfully complete a background investigation and a drug screen in accordance with all federal, state, and local lawsPay:
