HR Director Position Summary The HR & Payroll Coordinator supports daily human resources operations and weekly payroll processing. This position assists with recruiting administration, employee records, onboarding, separation processing, benefits notifications, and employee communications. The ideal candidate is organized, dependable, detail-oriented, and able to handle confidential information with discretion. Essential Duties and Responsibilities Payroll Administration
- Process weekly payroll in Paylocity, including reviewing time records and coordinating corrections with appropriate personnel.
- Prepare and submit certified payroll reports for applicable projects.
- Process garnishments, child support orders, and other authorized payroll deductions.
- Respond to routine payroll questions and escalate discrepancies or complex matters to the appropriate personnel.
- Maintain payroll documentation and assist with related accounting inquiries and administrative tasks. Recruiting and Onboarding Support
- Maintain the candidate tracking spreadsheet and update applicant information and hiring statuses.
- Review applications submitted through Cognito Forms.
- Answer applicant calls, provide application status updates, and refer questions to the HR Generalist as needed.
- Participate in job fairs and other recruiting activities.
- Prepare complete orientation packets and folders before scheduled new-hire orientations.
- Submit required state new-hire reporting and verify that employee information is accurate and complete.
- Notify the benefits broker team of new hires on their hire date. Employee Separation Processing
- Process approved employee terminations in Paylocity.
- Complete applicable state separation reporting and required separation forms, including Form 77 where applicable.
- Obtain required signatures and provide completed separation documents to former employees.
- Notify the benefits broker team and designated internal personnel of employee separations.
- Move separated employees' files and I-9 records from active to inactive storage according to company procedures.
- Complete related administrative tasks and update employee tracking records. Employee Records and HR Tracking
- Create, organize, and maintain employee personnel files.
- Maintain confidential medical records separately from personnel files.
- Keep employee information accurate and current in HR systems and spreadsheets.
- Maintain shirt-size records, employee event lists, and other HR tracking documents.
- Compile monthly employee birthday and work anniversary information for leadership.
- Maintain and update the employee picture board. Employee Communications and Administrative Support
- Assist employees with routine HR questions and requests.
- Refer matters requiring additional guidance to the HR Generalist or HR Director.
- Request, collect, organize, and follow up on quarterly newsletter submissions.
- Assist with compiling the quarterly newsletter as training is provided.
- Support employee events, HR projects, and general departmental administrative needs.
- Perform other related duties as assigned. Qualifications
- High school diploma or equivalent required.
- Previous payroll processing experience required; HR administrative experience preferred.
- Experience with Paylocity, certified payroll, or construction industry payroll preferred.
- Proficiency in Microsoft Excel, Word, and Outlook.
- Strong attention to detail, organizational skills, and accuracy with employee and payroll information.
- Ability to meet weekly deadlines and manage multiple priorities.
- Professional communication and customer service skills.
- Ability to protect confidential employee, medical, and compensation information.

Pay:
$17.00 - $20.00 per hour Expected hours: 40.0 per week
