We are seeking an experienced, detail-oriented Accounts & Payroll Specialist to join our on-site finance team. If you thrive in a fast-paced environment and have mastery over QuickBooks Online, we want to hear from you! Position Overview The Accounts & Payroll Specialist will manage daily full-cycle accounting activities and process regular payroll functions directly from our corporate facility. You will ensure precise transaction tracking, maintain accurate vendor and customer ledgers, and manage employee compensation in QuickBooks Online. This is an entirely on-site position requiring collaboration with our local operational teams.

Key Responsibilities Full-Cycle Accounting:

Process accounts payable (AP) and accounts receivable (AR), manage billing, invoices, collections, and complete monthly bank and credit card reconciliations.

Payroll Administration:

Execute accurate, timely, and compliant end-to-end payroll processing utilizing QuickBooks Online Payroll systems.

Ledger Maintenance:

Audit, adjust, and reconcile general ledger accounts to guarantee real-time financial reporting accuracy.

Compliance & Filing:

Assist in preparing tax documentation, managing quarterly payroll tax filings, and ensuring strict compliance with local, state, and federal labor regulations.

Data Validation:

Verify operational data from our facility scales and tracking systems matches financial documentation.

Required Qualifications Software Mastery:

Minimum of 3+ years of intensive, daily operational experience with QuickBooks Online (QBO).

Payroll Expertise:

At least 2+ years of full-cycle payroll administration processing.

Work Environment:

Comfortable working 100% on-site at our facility and collaborating in a dynamic industrial/office ecosystem.

Skills:

Exceptional mathematical accuracy, high proficiency in Microsoft Excel, and a sharp attention to administrative compliance. Preferred Qualifications Active QuickBooks Online Certified ProAdvisor status. Prior experience managing accounts or payroll in the recycling, waste management, logistics, or industrial sectors.
