Position Summary :
The Payroll Coordinator provides administrative support to the HR and payroll departments, ensuring accurate processing of employee data, benefits enrollment, timekeeping records, and payroll transactions. This position will primarily assist with payroll, however will also assist as needed with onboarding, personnel file maintenance, and responding to employee inquiries related to pay, benefits, and company policies. Working under the direction of the Human Resource Manager, the HR/Payroll Assistant plays a critical role in maintaining confidentiality, ensuring compliance with labor laws, and supporting smooth day-to-day operations of payroll and Human Resources. This position requires strong attention to detail, excellent organizational skills, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities:
Process weekly payroll accurately and timely for employees across multiple divisions. Review and verify timekeeping records, ensuring compliance with company policies and state/federal regulations. Maintain employee payroll files and ensure confidentiality of sensitive information. Prepare and distribute payroll reports for management and division leaders. Handle union payroll reporting , including benefit contributions and dues. Ensure compliance with prevailing wage requirements for applicable projects and contracts. Research and resolve payroll discrepancies or inquiries from employees. Assist with payroll-related audits, reporting, and compliance checks. Collaborate with HR, Accounting, and divisional management to ensure seamless payroll and benefit deductions. Stay current with wage and hour laws, tax regulations, and best practices.
Qualifications:
Associate's degree in Accounting, Business, or related field preferred; equivalent experience considered. 2+ years of payroll experience, preferably in a multi-division or high-volume environment . Experience with union payroll reporting and prevailing wage compliance strongly preferred. Strong knowledge of payroll practices, wage/hour laws, and tax requirements. Proficiency with payroll software and Microsoft Office (Excel, Word, Outlook). Exceptional attention to detail, accuracy, and organizational skills. Ability to handle sensitive information with discretion and maintain confidentiality. Strong communication and problem-solving skills.
