Job Description

Help Businesses Get Payroll Right We are looking for a Payroll & Bookkeeping Specialist who is accurate with numbers and good with people. You will process payroll for multiple local businesses, serve as a trusted day-to-day client contact, and support bookkeeping work across a variety of industries. This is not an entry-level training position. We need someone with hands-on payroll processing experience who can take ownership of assigned client work after learning our systems and procedures. You should know how to review a payroll, catch what does not look right, communicate with a client, and follow an issue through to resolution or escalation. John A. Warekois, CPA is a growing Southern Oregon CPA and advisory firm. We value professionalism, accuracy, accountability, continuous learning, and people who look for solutions instead of stopping at roadblocks. What You Will Do
  • Onboard new payroll clients and gather the information needed for an accurate, organized start.
  • Independently process regular and approved off-cycle payrolls for multiple client accounts, including wages, deductions, reimbursements, bonuses, commissions, tips, and employee changes.
  • Review payroll previews and registers, identify discrepancies, confirm client authorization, and meet recurring processing deadlines.
  • Serve as the primary day-to-day payroll contact for assigned clients and provide clear, practical answers.
  • Troubleshoot routine processing issues and escalate system, funding, transmission, tax-service, or provider concerns through the firm's established process.
  • Maintain client bookkeeping records, code transactions, reconcile bank, credit-card, and payroll accounts, and prepare routine financial reports.
  • Document approvals, open items, and follow-up activity while protecting confidential client and employee information. Required Experience and Skills
  • At least two years of hands-on payroll processing experience. Experience must include reviewing and completing payroll—not only entering timecards or submitting hours.
  • Working experience with payroll software such as ADP, PrimePay, Paychex, or a comparable payroll platform.
  • Hands-on experience with QuickBooks Online and/or QuickBooks Desktop, including transaction coding and account reconciliations.
  • Working knowledge of wages, deductions, payroll recordkeeping, and basic wage-and-hour requirements.
  • Experience managing deadlines and communicating directly with clients, employees, managers, or business owners.
  • Strong attention to detail, organization, judgment, problem-solving, and follow-through.
Success In This Role You are dependable, ethical, considerate, and calm under pressure. You double-check your work because payroll errors affect real people. Clients and teammates do not have to chase you for an answer, and you know the difference between solving a routine issue and escalating one that needs additional help. What We Offer
  • $20.00-$24.00 per hour, based on related experience and demonstrated skills.
  • Health, dental, and vision insurance; life insurance.
SIMPLE IRA
with a 3% company match.
  • Paid time off, paid holidays, recognition incentives, and paid continuing education, subject to eligibility and company policy.
  • Professional growth, a supportive team, flexible scheduling where business needs allow—and office snacks.
