Description We are looking for a detail-oriented Senior Payroll Clerk to support payroll operations for a transport organization in Norfolk, Virginia. This position is responsible for helping ensure employees are paid accurately and on schedule across multiple payroll cycles and jurisdictions while maintaining compliance with payroll regulations. The role also works closely with managers and internal teams to review records, resolve pay issues, and prepare reporting that supports finance and operational needs.
Responsibilities:
- Process payroll from start to finish for multiple pay groups, schedules, and state jurisdictions while maintaining accuracy and timeliness.
- Review timekeeping and payroll records, identify inconsistencies, and make corrections in line with company policy and pay rules.
- Partner with supervisors and managers to confirm employee data, pay changes, and attendance information are current before payroll is finalized.
- Investigate payroll questions and discrepancies, provide prompt resolution, and communicate clearly with employees and leadership.
- Prepare payroll-related reports for accounting, finance, and management, including reconciliations and other supporting documentation.
- Support year-end payroll activities such as wage statement preparation, tax balancing, and processing additional annual compensation entries.
- Administer payroll tax account activities, including registrations, rate updates, account access, and coordination of required filings.
- Monitor garnishment activity and voluntary deductions, verify withholdings, and maintain accurate records and responses with external agencies.
- Assist with payroll system configuration, maintenance, audits, and process documentation while helping train users when needed.
- Provide day-to-day guidance to payroll team members and serve as backup support for payroll leadership functions when required. Requirements
- High school diploma or equivalent required; bachelor's degree preferred.
- At least 3 years of experience processing multi-state payroll in a high-volume environment.
- Demonstrated knowledge of full-cycle payroll, including taxes, deductions, reconciliations, and reporting.
- Understanding of federal, state, and local payroll regulations and applicable tax requirements.
- Experience handling garnishments, voluntary deductions, and benefits-related payroll transactions.
- Advanced Excel skills and strong working knowledge of Office applications.
- Ability to interpret pay policies, attendance rules, and union or non-union payroll requirements as applicable.
- Strong attention to detail, sound judgment with confidential information, and the ability to work effectively in a fast-paced team setting.
