Job Description

Position Summary Silvertrek Systems is seeking a Junior Payroll Implementor to support payroll software implementations while developing the knowledge and skills needed to lead payroll implementations independently. This is an implementor-in-training position, not solely a coordination role. The Junior Payroll Implementor works alongside an experienced Payroll Implementor from kickoff through go-live and post-go-live stabilization. The role participates in customer meetings, completes assigned payroll setup and testing, maintains accurate project information, and takes on greater responsibility as readiness is demonstrated. Because payroll is connected to accounting, operations, job costing, HR, and employee data, this role is expected to learn beyond payroll. The Junior Payroll Implementor will participate in a support rotation and may assist with related implementation work to understand how information moves through the customer's business and into payroll. We call this this the Intermission, and it helps us strengthen our internal proceesess just as much as it helps you relax and unwind. Core Responsibilities 1. Payroll Implementation Support and Ownership Support assigned payroll implementations from kickoff through go-live and post-go-live stabilization. Complete implementation tasks assigned by the Lead Payroll Implementor or Project Manager. Take ownership of appropriate payroll tasks as knowledge and experience increase. Track assigned milestones, deliverables, open questions, risks, and customer commitments through completion. Work with Accounting and Operations Implementors so payroll setup aligns with the customer's overall implementation. 2. Payroll Setup and Configuration Assist with the configuration and validation of earnings, deductions, benefits, taxes, accruals, direct deposit, and payroll policies. Support setup for construction payroll requirements such as crafts, classes, prevailing wage, certified payroll, unions, job costing, equipment time, and labor reporting when applicable. Review employee and company setup information for completeness and accuracy. Document setup decisions, exceptions, and customer-specific payroll processes. 3. Connected Payroll and Employee Workflows Assist with employee onboarding workflows and hiring processes. Validate employee record requirements and payroll-related HR setup. Support employee self-service and related payroll or HR workflows. Learn how Accounting and Operations processes—including job setup, time entry, equipment time, job costing, and general ledger posting—connect to payroll. Assist with related Accounting or Operations implementation tasks when assigned so the full process can be understood, not just the payroll portion. 4. Payroll Testing and Go-Live Readiness Prepare and coordinate payroll testing activities, including parallel payrolls. Validate payroll calculations, taxes, deductions, benefits, accruals, direct deposits, and posting results with guidance from the Lead Payroll Implementor. Document discrepancies, research causes, and help coordinate corrections. Support customer readiness for the scheduled payroll go-live date and assist during initial live payroll processing. 5. Payroll Training and Customer Adoption Attend payroll discovery, configuration, testing, training, go-live, and follow-up meetings. Create and maintain customer-specific payroll training materials and reference guides. Assist with customer training and progressively lead payroll training sessions as readiness increases. Help payroll administrators and HR teams understand system functionality, responsibilities, and best practices. 6. Meetings Documentation and Follow-Up Maintain organized implementation notes, source documents, decisions, open questions, risks, and action items. Use approved AI tools to process meeting transcripts, create tasks, research questions, and prepare documentation. Review AI-generated information for accuracy before it becomes part of official project documentation. Create, assign, and update implementation tasks in the approved project-management system. Prepare for customer meetings by reviewing open items and previous commitments. 7. Cross-Functional Learning and Support Rotation Coordinate with Payroll, Accounting, and Operations Implementors, Developers, Project Managers, training personnel, and Support teams. Participate in the assigned customer support rotation and respond to routine questions within current knowledge and authority. Research support questions using available documentation and internal resources, then ask for guidance when an answer is unclear or carries additional risk. Remain open to taking on work outside the immediate payroll assignment when it provides useful experience or helps connect Payroll, Accounting, and Operations workflows. Share payroll decisions and requirements with team members whose work is affected. Identify risks or delays early, ask questions, and remain involved until the issue is resolved. Document confirmed solutions and recurring questions for future support and training use. Initial Assigned Duties Attend most payroll implementation meetings with the assigned Lead Payroll Implementor. Organize payroll discovery information, meeting notes, employee data, and setup documentation. Assist with payroll company setup, employee setup, configuration, imports, testing, and validation. Prepare parallel payroll comparison materials and track discrepancies through resolution. Create customer-specific payroll training materials and assist with training sessions. Track customer promises, open questions, and follow-up items through completion. Support payroll go-live activities and initial post-go-live payroll processing. Shadow the support rotation, then handle appropriate routine support items as knowledge and confidence increase. Assist with selected Accounting or Operations tasks to learn how upstream setup and daily processing affect payroll results. Development Path Progression is based on demonstrated payroll knowledge, accuracy, customer readiness, judgment, communication, willingness to learn connected processes, and ownership—not simply time in the position. Stage 1 Observe and Organize Attend implementations, maintain documentation, manage follow-up items, shadow support, and learn Silvertrek's implementation process, payroll software, and connected Accounting and Operations workflows. Stage 2 Assist and Execute Own defined payroll setup, testing, documentation, training materials, routine support questions, related cross-functional tasks, and portions of customer meetings under review. Stage 3 Lead Portions of Payroll Implementations Independently manage defined payroll workstreams or project phases, participate confidently in the support rotation, and recognize when connected Accounting or Operations processes require coordination. Stage 4 Lead Payroll Implementations Independently manage assigned payroll implementations from kickoff through setup, testing, training, go-live, and stabilization. Qualifications Previous payroll, accounting, HR, or related administrative experience is preferred but not required. The ideal candidate is detail-oriented, comfortable working with numbers, and able to learn payroll processes quickly. Construction payroll, prevailing wage, certified payroll, union payroll, HR, or accounting experience is a plus. Implementation experience is not required; Silvertrek will provide training on its software and implementation process. Comfort using Microsoft Office, especially Excel and Word, and learning new computer systems. Strong attention to detail, organization, critical thinking, and follow-through. Ability to communicate professionally with customers and internal teams in meetings, email, and training sessions. Comfort with ambiguity, asking questions, receiving feedback, and becoming increasingly self-directed. Willingness to learn outside the payroll specialty and take on related Accounting, Operations, implementation, or support work when assigned. Ability to follow established systems and processes while helping improve them when appropriate. What Success Looks Like Assigned payroll tasks and customer commitments are completed accurately and on time. Payroll setup and testing details are documented clearly and do not fall through the cracks. Risks, discrepancies, and unanswered questions are identified early and worked toward resolution. Customers receive a consistent, organized, and supportive payroll implementation experience. The employee can explain how key Accounting and Operations workflows affect payroll and brings the right people into the conversation when needed. Routine support responsibilities are handled reliably, documented clearly, and escalated appropriately. The employee steadily takes more payroll implementation work off the Lead Payroll Implementor's plate and requires less oversight over time.
