$25-$30 per hour, based on experience Job Summary We are seeking a detail-oriented and experienced Payroll, Bookkeeping & Billing Specialist to join our team. This position will be responsible for managing payroll and payroll tax responsibilities across multiple business entities, assisting with day-to-day bookkeeping, and providing support to our billing department when needed. We are looking for someone who understands the full payroll process—not simply entering hours into payroll software. The ideal candidate should be comfortable with payroll taxes, reconciliations, accounting records, deadlines, and identifying discrepancies before they become problems. Responsibilities Process accurate and timely payroll across multiple business entities. Review timecards, PTO, overtime, bonuses, reimbursements, deductions, and employee changes. Manage federal and state payroll tax withholding, deposits, filings, and reconciliations. Maintain accurate employee and payroll records. Reconcile payroll reports, payroll liabilities, taxes, deductions, and related accounts. Assist with year-end payroll processing and employee tax documents. Research and resolve payroll discrepancies, tax notices, and other payroll-related issues. Maintain awareness of payroll regulations and compliance requirements. Complete general bookkeeping duties, including bank and credit-card reconciliations. Assist with accounts payable, vendor bills, and payment tracking. Assist with accounts receivable and payment posting as needed. Prepare and maintain accurate financial records and basic general ledger entries. Assist with month-end reconciliations and other accounting-related tasks. Respond to employee payroll questions professionally and accurately. Cross-train with the billing department and assist with billing, payment posting, account review, and follow-up when needed. Maintain strict confidentiality of employee, payroll, and financial information. Qualifications Previous payroll, bookkeeping, or accounting experience required. Strong understanding of full-cycle payroll and payroll taxes. Experience handling payroll for multiple companies, entities, or locations is strongly preferred. Experience with bookkeeping, reconciliations, and general accounting functions. Strong attention to detail and ability to identify discrepancies. Comfortable working with numbers and managing multiple deadlines. Proficiency with Microsoft Excel and the ability to learn payroll, accounting, and billing software. Ability to work independently, research problems, and follow issues through to resolution. Strong organizational and communication skills. Healthcare or medical billing experience is a plus but not required.
