With strong community backing, as shown by our recently approved referendum, we are entering an exciting phase of facility enhancements, learning environment upgrades, and programmatic improvements. Much of this work begins this spring, setting the stage for a transformed school experience in the years ahead. Additionally, Whitnall has launched a new strategic plan that provides clear priorities for student learning, instruction, culture, engagement, and operational excellence. Whitnall is a unique school district that is proud to serve approximately 2,500 students in the Village of Hales Corners, part of the City of Greenfield, and part of the City of Franklin. Payroll Payroll Processing & System Administration Payroll Operations & Processing Executes full-cycle, accurate payroll processing for all staff in alignment with district pay schedules and guidelines. Reviews, verifies, and imports all timecard data prior to processing, ensuring time off requests are approved, time worked is accounted for, and all records are accurately pulled into the payroll system. Calculates and processes exit payouts, payroll docks, manual checks, adjustments, and payroll corrections as necessary. Annual Setup & Systems Integration Partner with the Human Resources department to execute annual fiscal new-year payroll setup, including wage rates, salary adjustments, deductions, and benefits. Oversees and transmits EDI files for contributions for deferred compensation, 403(b), and HSA accounts following each pay cycle. Payroll System Expertise & Vendor Relations Software Administration & Onsite Expert Serves as the primary expert and onsite administrator for the payroll platform, Paycor. Leads continuous improvement initiatives for the payroll platform, identifying opportunities to streamline operations and implement new software features. Maintains data integrity in Paycor by managing ongoing profile changes, payroll updates, and employee status changes, including deactivating staff upon completion of final payroll. Provides ongoing training, guidance, and technical resources to employees, supervisors, and administrative staff on system navigation, timecards, time off, and approvals. Vendor Liaison & Third-Party Management Maintains a direct working relationship with payroll software representatives (Paycor), communicating regularly on managed services, platform updates, and technical needs. Collaborates with vendor representatives to oversee required quarterly 941s, annual W-2 generation, tax payments, and court-ordered wage garnishments. Compliance, Employee Support & Office Operations Compliance & Verification Services Processes and completes Employment Verification requests and Unemployment documentation in a timely manner. Maintains a practical understanding of Wisconsin Retirement System (WRS) guidelines and rules as they relate to payroll eligibility and contributions; responsible for processing terminations in the WRS portal for employees after their final payroll. Staff Service & Direct Support Provides prompt, service-oriented assistance to staff regarding account access, direct deposit setup, tax withholding and direct deposit updates, address changes, and general paystub inquiries. Investigates and resolves employee inquiries regarding pay calculations, deductions, or timecards. Central Office Operations Provides back-up front desk support at the District Office, as needed. Accountabilities Performs other duties as assigned. Qualifications High school diploma or equivalent required. Associate or Bachelor's degree in Accounting, Finance, or a related field preferred. Experience working in a K-12 public school district is preferred. Proficiency with Microsoft Office Suite and Google Workspace required. Experience with Paycor preferred. Exceptional organizational, interpersonal, customer service, and written/verbal communication skills. Ability to handle confidential information with discretion. Knowledge of payroll processes, applicable regulations, state/federal tax compliance, and Wisconsin Retirement System (WRS) preferred.
