Marketing Communications Specialist
  • Maintex About the Role Since 1960, Maintex has been locally manufacturing cleaning chemicals and distributing janitorial and sanitation supplies that help keep our community clean and healthy.

The Pricing & Contracts Manager is a dual-function leadership role responsible for maintaining pricing integrity and contract compliance across all customer accounts within our Jan/San distribution operations. This position oversees the accuracy of customer pricing within CSDensuring alignment with negotiated agreements, municipal and institutional contracts, and industry partner commitments. In addition to pricing oversight, the Pricing & Contracts Manager leads the company's contract management function—ensuring that all contractual obligations with customers, vendors, and industry partners are honored, properly documented, and consistently applied across the organization. The ideal candidate is highly detail-oriented, systems-savvy, and skilled at cross-functional coordination with Purchasing, Sales, and Operations teams.
KEY RESPONSIBILITIES
Pricing Management
  • Oversee all customer pricing within CSD, ensuring accuracy and alignment with current customer agreements, contracts, and pricing schedules.
  • Manage pricing for municipalities, school districts, and industry partners in accordance with contracted terms and compliance requirements.
  • Supervise and mentor the Pricing Data Entry Specialist responsible for inputting and maintaining price records in the ERP system.
  • Establish and enforce workflows and quality controls to ensure pricing is entered correctly, updated promptly, and audited on a regular cadence.
  • Partner with the Purchasing team to ensure that accurate product cost data flows to the pricing team on a timely basis to support margin management and competitive pricing decisions.
  • Coordinate with Sales and Account Management to receive new or amended customer pricing agreements and translate them into CSD-ready data.
  • Identify and resolve pricing discrepancies, incorrect cost inputs, and contract misalignments in collaboration with relevant stakeholders.
  • Generate and review pricing reports to monitor accuracy, margin performance, and contract compliance.
  • Maintain organized records of all active pricing agreements, contracts, and amendment history. Contract Management
  • Serve as the central point of contact and steward for all customer, vendor, and industry partner contracts.
  • Manage the full contract lifecycle—from intake and review to execution, renewal tracking, and archival—for GPO agreements, co-op bids, government contracts (municipal, county, state), and private customer agreements.
  • Maintain a comprehensive contract repository, ensuring all documents are current, accessible, and properly version-controlled.
  • Monitor contract expiration dates and proactively coordinate with Sales and Purchasing to initiate renewals or renegotiations well in advance of deadlines.
  • Interpret contract terms and pricing provisions to support internal teams in applying agreements correctly to customer orders and vendor purchases.
  • Ensure compliance with pricing commitments embedded in contracts, including tiered pricing, volume-based discounts, and promotional allowances specific to the Jan/San sector.
  • Collaborate with legal counsel or senior leadership to review and flag non-standard contract terms or risk exposures requiring escalation.
  • Assist in developing standard contract templates and negotiation playbooks to streamline future agreements. Cross-Functional Leadership
  • Act as the primary liaison between Pricing & Contracts, Sales, Purchasing, and Operations to ensure seamless communication of pricing changes, contract updates, and compliance requirements.
  • Lead regular pricing and contract review meetings to surface issues, align on priorities, and drive timely resolution.
  • Provide training and guidance to internal stakeholders on proper contract interpretation, pricing policy compliance, and agreement administration.
  • Support the development and implementation of pricing strategy and contract management initiatives as directed by senior leadership.
QUALIFICATIONS
Education & Experience
  • Bachelor's degree in Business Administration, Supply Chain, Marketing, or a related field preferred; equivalent experience considered.
  • 3-5+ years of experience in pricing management, contract administration, or a related role within distribution, manufacturing, or wholesale; combined pricing and contracts experience strongly preferred.
  • Prior experience in the Jan/San (janitorial/sanitation), facilities maintenance, or building services supply industry is a significant plus.
  • Prior experience working with ERP systems (e.g., SAP, Oracle, Epicor, Infor, NetSuite) is strongly preferred.
  • Experience managing government, municipal, or institutional contracts (GSA schedules, cooperative purchasing agreements, school district contracts) is highly desirable. Skills & Competencies
  • Exceptional attention to detail and commitment to data accuracy.
  • Strong analytical and problem-solving skills, with the ability to interpret complex pricing structures and contract language.
  • Proficiency in Microsoft Excel (pivot tables, VLOOKUP/XLOOKUP, conditional formatting); experience with pricing tools or BI platforms is a plus.
  • Excellent organizational skills with the ability to manage multiple priorities, deadlines, and stakeholders simultaneously.
  • Clear and professional communication skills, both written and verbal, for cross-functional and external interactions.
  • Self-directed work ethic with demonstrated ability to build and enforce processes in a fast-paced distribution environment.
  • Familiarity with distribution industry pricing concepts including rebates, margin-based, and contract-indexed pricing models.
