Job Description
PRIMARY DUTIES AND RESPONSIBILITIES
include the following. Other duties may be assigned as needed or required by Department Head or Supervisor. Reviewing and filing physical property record cards in file cabinets. Digitizing property cards by sketching structures using APEX sketch or similar software. Digitizing property cards by entering property details into the county database (DevNet) Using aerial imagery to identify discrepancies in township and county records, and notifying a supervisor. Scanning and emailing physical property cards to the public as requested. Assisting the public in obtaining digital property cards when existing. Entering and editing Vermilion County real estate transfer declarations (RETDs), adding missing information, correcting wrong information, and using the State of Illinois Transfer Declaration System (MyDec) to submit them to the Illinois Department of Revenue. Reviewing RETDs to determine if they are valid or non-valid sales and updating MyDec to ensure only valid sales are utilized in local sales ratio studies. Maintaining physical files of RETDs organized by property types and townships. Periodically emailing electronic copies of RETDs to the Supervisor of Assessments, township assessors, and market participants who opt-in. Answering the telephone, taking and relaying messages, responding to telephone inquiries and performing other clerical duties as needed. Making frequent and varied rotations to the front desk to provide customer service. Communicating, documenting and corresponding with the public, S of A staff, and other individuals such as township assessors and attorneys to obtain any missing information and to answer questions. Reading basic legal descriptions and locating properties using the county GIS map. Special projects, studies, or services pertinent to the needs of the department may be assigned periodically.Job Types:
