The role combines vacant-property oversight, tenant transitions, property showings, marketing support, field logistics, and property-turnover coordination. This is a field-based position that requires regular travel between properties. The successful candidate will be comfortable entering vacant and occupied properties, completing detailed checklists, taking clear photographs and videos, placing flyers in appropriate community locations, meeting prospective tenants, handling keys and lockboxes, and identifying issues that require attention. The role also involves assessing small repair or handyman concerns reported by tenants. The specialist should be able to recognize whether an issue is a minor fix that can be addressed or documented, or whether it should be referred to a qualified or specialized contractor.
Primary Responsibilities:
Vacant Property Inspections Conduct inspections of vacant properties every other day, or according to the company's inspection schedule. Check that vacant properties remain secure, including doors, windows, locks, gates, utilities, and visible exterior conditions. Look for signs of water intrusion, damage, vandalism, unauthorized entry, unsafe conditions, or other issues requiring prompt attention. Complete detailed inspection checklists and submit timely photographs, videos, and written notes. Confirm that properties are presentable and progressing toward being ready for marketing, showing, or occupancy. Tenant Move-In and Move-Out Transitions Coordinate and complete tenant move-in and move-out appointments. Conduct move-in and move-out walkthroughs using company checklists. Document property condition accurately with photographs and written notes. Hand out keys, receive keys, manage access instructions, and update the company's records. Explain basic property access, procedures, and next steps to incoming or departing tenants in a professional manner. Report missing keys, damage, cleaning needs, or other transition issues to the appropriate team member. Property Issue Assessment Visit properties to assess small handyman, repair, or property-condition issues reported by tenants or identified during inspections. Determine whether an issue appears to be a minor fix, a documentation matter, or a job requiring a specialized contractor. Complete only tasks that are within the position's approved responsibilities, experience, and safety limits. Photograph and document issues clearly so contractors and management can understand the scope of work. Help coordinate contractor access and follow up on outstanding property needs. Field Logistics and Property Runs Place, remove, update, and manage lockboxes at properties. Receive keys and access materials for newly purchased or newly assigned properties. Deliver or retrieve documents, supplies, signs, keys, and other property-related items. Post legally required notices on doors or other approved locations according to company instructions. Confirm completion of field assignments through photographs, written updates, or the company's work-order system. Perform other local field tasks necessary to support property operations. Property Showings and Tenant Placement Meet prospective tenants at available properties and conduct professional property showings. Arrive on time, prepare the property before the showing, and present the home accurately and positively. Answer basic questions about the property and direct application, qualification, or lease questions to the appropriate team member. Communicate showing feedback, applicant interest, and property concerns to the management team. Help maintain a professional and welcoming experience for prospective tenants. Marketing Media and Local Advertising Take high-quality, well-lit photographs and videos of newly vacated, renovated, or rent-ready properties. Capture accurate images that represent the property fairly and professionally. Upload and organize media according to company procedures. Place approved physical flyers in appropriate high-traffic community locations such as local shops, libraries, laundromats, community centers, and other permitted areas. Maintain accurate records of where flyers were posted and remove or update outdated materials when instructed. Support other approved local marketing activities designed to attract qualified prospective tenants. Property Turnover Assist with the physical turnover of recently vacated properties so they can become rent-ready as efficiently as possible. Identify cleaning, debris removal, painting, surface repair, appliance, fixture, landscaping, or access needs. Help coordinate vendors and service providers involved in the turnover process. Track outstanding items and communicate delays or concerns promptly. Confirm when a property is ready for photographs, showings, inspection, or tenant occupancy. Required Qualifications Reliable and professional attendance, communication, and follow-through. Ability to travel between properties throughout the Cleveland service area. Reliable transportation and a valid driver's license, if required for the position. Phone with good quality camera.
