Tax Office Manager / Tax Practice Operations Manager KashTax Service LLC KashTax Service LLC is seeking an experienced, highly organized and leadership-minded Tax Office Manager / Tax Practice Operations Manager to oversee the daily operations of our growing tax practice. This is not simply an administrative position. We are looking for someone who can take ownership of office operations, create structure, lead staff, improve workflow and help ensure that every client receives an organized, professional and efficient experience. Primary Responsibilities The Tax Office Manager will be responsible for: Managing daily tax-office operations Coordinating client intake and document collection Monitoring tax-return workflow from intake through completion Managing scheduling and client communication Supervising administrative staff and tax preparers Maintaining staff accountability and productivity Monitoring outstanding documents and incomplete client files Ensuring client follow-ups are completed promptly Managing CRM pipelines, tasks and communications Maintaining organized digital and physical client records Helping enforce internal policies, procedures and deadlines Monitoring tax-season workload and identifying bottlenecks Assisting with onboarding and training seasonal employees Coordinating IRS and state correspondence workflow Protecting confidential taxpayer information Supporting compliance with office security and data-protection procedures Preparing daily and weekly operational reports for ownership Identifying opportunities to improve efficiency and client experience Ideal Candidate Our ideal candidate has previous experience working in: Tax preparation, accounting, bookkeeping, financial services, professional services, or another deadline-driven client-service environment. Direct experience managing a tax office is strongly preferred.
The successful candidate should demonstrate:
Strong leadership ability Exceptional organization Excellent written and verbal communication Professional client-service skills Strong attention to detail Ability to manage multiple deadlines simultaneously Comfort holding team members accountable Experience managing workflows and operating procedures CRM and technology proficiency Discretion with confidential financial information Ability to remain organized during high-volume tax season Strong problem-solving and decision-making skills Experience with professional tax software, CRM systems, IRS procedures, electronic filing and taxpayer documentation is highly desirable. What Success Looks Like The successful manager creates an office where: Clients know exactly what happens next. Staff members know exactly what is expected of them. Every return has a clearly identifiable status. Missing information is followed up on consistently. Deadlines are visible and actively managed. Client communications do not fall through the cracks. Ownership can see the health of the operation without personally managing every transaction. The ultimate objective of this position is to build and maintain an organized, accountable and scalable operating environment. Schedule This position requires increased availability during tax season, particularly January through April. Specific scheduling expectations will be discussed during the interview process. Compensation Competitive compensation based on experience, leadership capability and tax-industry knowledge. Performance-based incentives may also be available.
