The Finance Director is responsible for the accuracy, integrity, and timely completion of accounting, payroll, tuition, public-funding, budgeting, compliance, audit-support, and financial-reporting activities. This position reports to the Board of Directors through the Treasurer and works in close partnership with the Executive Director. The Executive Director is responsible for programs, personnel, and daily operations; the Finance Director is responsible for financial administration, accounting integrity, internal controls, compliance, and reporting. The Finance Director provides timely financial analysis to support operational decisions and helps leadership operate within the Board-approved budget. Core Responsibilities Accounting and controls Manage the full accounting cycle in QuickBooks, including general ledger maintenance, journal entries, accounts payable, accounts receivable, and month-end close. Perform and document bank, credit-card, investment-account, and petty-cash reconciliations. Process vendor and service-provider payments and maintain complete supporting documentation. Maintain appropriate financial controls, records, access practices, and separation of duties. Payroll, benefits, and personnel-related finance Process payroll accurately and on schedule, including wages, deductions, adjustments, and required tax filings. Coordinate with operational leadership on timekeeping, paid time off, employee changes, and supporting documentation. Administer employee benefits, expense reimbursements, unemployment documentation, and other payroll-related processes. Tuition, public funding, and grants Manage family billing, tuition collection, account statements, and revenue reconciliation across QuickBooks and ProCare. Administer and reconcile state tuition-assistance and other publicly funded child-care programs. Track grant awards, expenditures, supporting documentation, and financial compliance requirements. Ensure accurate revenue recognition across private-pay, public-assistance, contract, and grant funding sources. Budgeting, reporting, and compliance Develop, maintain, and monitor the annual operating budget in collaboration with the Treasurer, Board, and Executive Director. Prepare accurate and timely financial statements, cash-flow information, budget-to-actual reporting, and variance analysis for the Treasurer and Board. Evaluate the financial implications of proposed staffing, compensation, enrollment, and program decisions. Coordinate annual audit and tax-return support, including schedules, reconciliations, and requested documentation. Maintain compliance with applicable federal, state, local, grant, and contract financial requirements affecting child-care operations. Collaboration and workflow Communicate regularly with the Treasurer, Board, and Executive Director about financial status, deadlines, risks, and decisions requiring review. Coordinate financial workflows and provide direction to staff supporting payroll, billing, tuition administration, public-funding documentation, and other financial processes. Maintain written procedures, recurring-deadline calendars, system-access documentation, and cross-training needed for continuity. Handle confidential financial and personnel information with discretion and sound professional judgment. Required Qualifications Strong hands-on QuickBooks experience, including reconciliations, general-ledger activity, and financial reporting. At least three years of progressively responsible accounting, finance, or full-charge bookkeeping experience. Experience processing payroll and working with payroll taxes, deductions, benefits, and employee changes. Strong Microsoft Excel skills and the ability to organize, analyze, and clearly communicate financial information. Demonstrated accuracy, follow-through, confidentiality, and ability to manage recurring deadlines independently. Bachelor's degree in accounting, finance, business, or a related field, or an equivalent combination of education and directly relevant experience. Preferred Qualifications Experience in nonprofit, human-services, education, or child-care accounting. Experience with public funding, grants, contract reporting, or tuition-assistance programs. Experience with ProCare, Brightwheel, or a comparable child-care management platform. Experience preparing for annual audits and working with external accountants or auditors. Compensation and Benefits The salary range is $65,000-$75,000 per year, depending on experience and qualifications.
