Job Overview We are seeking a dynamic and energetic Front Desk Receptionist/Office Assistant to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and support daily office functions. Responsibilities Greet visitors warmly, determine their needs, and direct them appropriately with professional phone etiquette. Operate multi-line phone systems efficiently, handle incoming calls, and relay messages promptly. Manage front desk activities including scheduling appointments, maintaining visitor logs, and overseeing mail distribution. Support office management tasks such as filing, data entry, proofreading documents, and maintaining organized records. Assist with calendar management and scheduling for staff or executives to ensure timely meetings and appointments. Utilize computer skills to update databases, prepare reports using Microsoft Office and Google Workspace tools, and perform basic bookkeeping with QuickBooks. Provide customer support by addressing inquiries, offering information about services or products, and ensuring a positive client experience. Requirements Proven experience in front desk operations or office administration with excellent organizational skills. Strong computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and data entry software. Exceptional phone etiquette skills with experience managing multi-line phone systems. Previous clerical or administrative experience demonstrating attention to detail through proofreading and filing tasks. Ability to multitask efficiently while managing time effectively in a busy environment. Excellent interpersonal skills with a friendly attitude to support customer service goals and foster positive interactions.
