Doral Acupuncture is a well-established, growing acupuncture practice specializing in fertility and women's health. We're looking for an experienced Office Manager to lead daily operations, build our patient retention systems, and grow into a long-term leadership role as our practice expands — including eventually hiring and managing additional staff. About the
Role:
This is a hands-on leadership role with real room to grow. You would work side by side with the owner and Dr. to support her and manage daily operations. You'll work the front desk daily during patient hours with support of additional front desk staff. Then, use dedicated solo operational hours to handle admin, systems-building, and strategy work. In your first months, you'll learn our current systems (scheduling, treatment tracking, patient flow) end-to-end, then bring your own expertise to recommend and lead improvements — including designing our patient retention, reactivation, and referral program. As the practice grows, this role is expected to grow with it, including hiring and overseeing future front desk/support staff.
Structure:
Clinic hours: Mon+Fri 8am-1pm, Tue-Thu 12-5, Sat 9-1 (Total range 25-35 hrs weekly) Solo operational hours: outside clinic hours- dedicated time for admin, systems work, reporting, and strategy
Responsibilities:
Work the front desk during clinic hours: scheduling, payments, patient check-in/out, treatment plan tracking Directly supervise, train, and coach front desk/support staff; address performance issues head-on Learn existing clinic systems, then identify and lead transitions/improvements Design and implement a patient progress-tracking, referral, retention, and reactivation system Report monthly on clinic performance metrics (patient retention, reactivation, new patient conversion, and other key numbers) directly to the owner Manage inventory and vendor relationships Handle payroll administration and day-to-day financial tracking Create and maintain SOPs so standards hold regardless of who's on shift As the practice grows: participate in hiring, onboarding, and managing additional staff
Qualifications:
Required:
2+ years of office management experience in a medical or wellness practice (acupuncture, chiropractic, dental, medspa, fertility clinic, or similar) Demonstrated experience building or improving patient retention/reactivation systems Comfortable being independent and hands-on daily — this is a working leader, not a behind-the-desk administrator Proven ability to lead a team and give direct, respectful feedback
Preferred:
Meta Ads / Google Ads or digital marketing experience (increases starting compensation) Bilingual (English/Spanish) strongly preferred Experience with practice management software (Jane App or similar) a plus Comfortable being evaluated on measurable performance metrics
