About the Role We are looking for an energetic, highly organized professional with a positive, can-do attitude to support our daily office operations and caregiver lifecycle. Reporting directly to the franchise owner, you will act as a key operational pillar in our office—taking the lead on caregiver recruitment & onboarding, assisting with scheduling workflows, and supporting overall daily administration. While your primary focus will be keeping internal office operations running smoothly, you will also support agency growth by conducting client intake assessments when needed, maintaining caregiver and client satisfaction, and assisting with business development initiatives. Key Responsibilities
Daily Operations & Scheduling Support:
Scheduling Assistance:
Assist with matching caregiver availability with client needs, filling shift openings, and handling real-time schedule adjustments or call-outs as needed.
Office Administration:
Oversee daily administrative workflows, keep digital records updated, and ensure high operational standards across the office.
On-Call Rotation:
Participate in an after-hours on-call rotation to address urgent evening or weekend client and scheduling needs.
Hiring & Onboarding:
Recruitment & Hiring:
Lead caregiver recruiting efforts, including screening applicants, conducting interviews, and making hiring recommendations.
Onboarding & Compliance:
Manage the complete onboarding pipeline—processing Level 2 background checks, verifying credentials, and ensuring strict compliance with state and AHCA standards.
Caregiver Orientation:
Plan, facilitate, and lead new caregiver orientation sessions to ensure new hires are fully prepared, trained, and aligned with company standards.
Caregiver Engagement:
Serve as a reliable point of contact for caregivers, fostering an environment of open communication, recognition, and ongoing support.
Client Care & Growth Support:
Assessments & Intake:
Conduct in-home client intake assessments when needed to establish tailored care plans and onboard new clients.
Business Development Support:
Collaborate with leadership on local growth initiatives, referral source relationships, and business development tasks.
Quality & Compliance:
Maintain strong client relationships, audit administrative files, and uphold strict confidentiality standards. Qualifications & Requirements
Experience:
Minimum of 2 years of office administration experience (preference given to candidates accustomed to wearing multiple hats in a fast-paced environment).
Industry Background:
Previous experience in a home care, home health, or related healthcare agency required.
Hiring & Administrative Skills:
Proven experience with recruiting, onboarding, and facilitating training or orientations, alongside general administrative skills.
Background Screening:
Up-to-date Level 2 background screening clear for the AHCA roster (or ability to clear prior to hire).
Certifications:
Current CPR or BLS certification required.
Tech Savvy:
Proficiency with office technology, home care CRM databases, and administrative software.
Availability:
Willingness and ability to participate in an after-hours/weekend on-call rotation as required.
Transportation:
Valid driver's license, reliable vehicle, and auto insurance for conducting periodic in-home assessments. Bilingual preferred Compensation & Benefits
Salary:
