Position Overview The Client Care Coordinator (CCC) is a vital, client-facing role focused on delivering calm, empathetic, and unhurried support to families navigating hospice, palliative, and end-of-life care. This position works closely with our Lead Client Care Coordinator and veterinary team, supporting both client communication and day-to-day medical operations. This role begins at 25+ hours per week and is designed to grow intentionally as Loved continues to refine best practices and expand services. While client care remains the foundation of this position, individuals with veterinary technician experience are strongly preferred, as the role may gradually evolve to include additional medical and hospice support for established patients as the practice develops. While this position is first and foremost centered on client care and coordination, Loved recognizes the importance of thoughtful medical support as hospice and palliative services continue to grow. As services evolve, technicians may have the opportunity to contribute additional medical perspective in support of established hospice and palliative patients—always in alignment with training, scope, and practice needs. This evolution is intentional and paced, with client care remaining the core responsibility of the role. Core Responsibilities Client Care & Coordination (Primary Focus) Serve as a compassionate, steady point of contact for families seeking hospice, palliative, or end-of-life care. Manage incoming phone calls, texts, and emails with professionalism, empathy, and clarity. Conduct sensitive client intakes, gather medical history, and coordinate appointment scheduling. Provide consistent follow-up and guidance before and after appointments. Support families with memorial planning, cremation coordination, and available resources. Coordinate and participate in the hand-to-home delivery of cremains and memorial items, recognizing this as a critical extension of care and an important differentiator for Loved. Medical & Operational Support Maintain accurate and detailed client and medical records within Loved's systems (Zoho platforms, HeyMarket, Aircall). Support veterinary operations through documentation, coordination, and care continuity. Assist with logistics, preparation, and organization for appointments. Communicate appropriately with referring veterinary hospitals and partner clinics. Provide increased support for longitudinal hospice and palliative patients as services grow. Team, Practice & Community Support Work closely with the Lead Client Care Coordinator to support daily workflows and evolving systems. Demonstrate strong independent work ethic while remaining collaborative and communicative. Contribute to a positive, respectful team culture within a growing start-up environment. Support relationships with referral partners and represent Loved professionally within the local veterinary and pet care community. Ideal Candidate Deeply compassionate, emotionally intelligent, and comfortable supporting families in sensitive moments. Strong communication and organizational skills with excellent attention to detail. Prior experience in veterinary medicine, veterinary technician roles, animal health, or healthcare strongly preferred. Comfortable working independently within a small, growing practice. Adaptable, dependable, and grounded in professionalism. Comfortable learning and using evolving technology systems. Valid driver's license and reliable transportation required.
