Job Description
Overview Join our dynamic dental practice as a Dental Office Scheduling Coordinator and become the vital link that keeps our clinic running smoothly! In this energetic role, you will be the first point of contact for patients, managing appointment schedules, coordinating with clinical staff, and ensuring an exceptional patient experience. Duties Manage appointment scheduling using EMR (Electronic Medical Records) systems such as Epic, Meditech, or eClinicalWorks to ensure efficient patient flow. Confirm patient appointments via phone or electronic communication, providing clear instructions and answering inquiries with professionalism. Coordinate with dental clinicians and staff to optimize daily schedules, accommodating urgent cases and cancellations seamlessly. Maintain accurate and up-to-date medical records, including documentation review for completeness and compliance with HIPAA confidentiality policies. Assist with billing processes by understanding medical coding (CPT, ICD-9/10), insurance verification, and processing claims related to dental procedures. Handle incoming calls with excellent phone etiquette, addressing patient concerns and directing inquiries appropriately. Support front desk operations by filing documents, managing electronic health records (EHR) systems, and performing clerical tasks such as typing, data entry (10 key typing), and filing. Qualifications Proven experience in a dental clinic or medical office environment with strong knowledge of dental clinic procedures. Familiarity with EMR/EHR systems such as Epic, Meditech, Athenahealth, or eClinicalWorks is highly preferred. Solid understanding of health insurance processes including Medicare, Medicaid, HIPAA compliance, and health information management. Knowledge of medical billing, coding (ICD-10/ICD-9), CPT coding, and care plan documentation is advantageous. Excellent computer skills with proficiency in Microsoft Office Suite for documentation and communication tasks. Strong customer service skills with the ability to communicate effectively via phone and in person; bilingual abilities are a plus. Detail-oriented with clerical experience including filing, data entry, and maintaining medical records accurately. Ability to handle sensitive information confidentially while adhering to clinical confidentiality policies. Clinic experience in a healthcare setting involving appointment scheduling, medical records management, or front desk duties is preferred.
