Job Description
Job Overview We are seeking a dedicated and detail-oriented Clinical Authorization Coordinator to join our busy Gastroenterology (GI) clinic . In this vital role, you will be responsible for managing insurance prior authorization requests, ensuring compliance with healthcare policies, and facilitating smooth communication between providers, insurance companies, and patients. This position also provides hands-on clinical support and requires the ability to balance authorization responsibilities with the day-to-day needs of a busy GI clinic. Duties will include assisting with rooming patients, obtaining and documenting vital signs, updating patient information, preparing exam rooms, and supporting providers and clinical staff as needed. Your proactive approach will help streamline clinical workflows, improve patient access to care, maintain efficient patient flow, and uphold high standards of confidentiality, accuracy, and patient service. Responsibilities Review and process insurance prior authorization requests promptly and accurately, ensuring all necessary documentation is complete. Collaborate with healthcare providers to gather required medical records, clinical notes, and supporting documentation for authorization submissions. Utilize medical coding systems such as CPT and ICD-10 to support authorization and documentation requirements. Maintain knowledge of health insurance policies, managed care protocols, and medical office procedures to ensure compliance with applicable requirements, including HIPAA. Verify insurance coverage and benefits using electronic health record (EHR) systems and other available resources. Communicate effectively with insurance companies, healthcare providers, pharmacies, and patients to follow up on authorization statuses and resolve issues that arise during the process. Ensure clinical records are handled in accordance with confidentiality policies while maintaining accurate and organized electronic medical records. Assist with rooming patients and maintaining efficient patient flow throughout a busy GI clinic. Obtain and accurately document patient vital signs, including blood pressure, pulse, temperature, height, and weight. Review and update patient information, including medications, allergies, and pharmacy information, as appropriate. Prepare examination rooms for patient visits and assist with cleaning and restocking rooms as needed. Assist physicians and clinical staff with patient care and clinic workflow as needed and within the employee's training and scope of responsibility. Be willing to shift between authorization responsibilities and clinical support based on daily patient volume and the needs of the clinic. Qualifications Proven experience in a medical office setting or health insurance environment with familiarity in medical billing, coding, or authorization processes. Previous experience in a gastroenterology or other specialty medical practice is preferred. Strong knowledge of HIPAA regulations, clinical confidentiality policies, and health insurance requirements. Proficiency in Microsoft Office applications, including Word, Excel, and Outlook. Experience with electronic health record (EHR) systems is highly preferred. Excellent customer service and communication skills with the ability to interact professionally with patients, providers, coworkers, and insurance representatives. Solid understanding of medical terminology, medical records, CPT and ICD-10 codes, and insurance verification procedures. Ability to provide direct patient support, including rooming patients and obtaining vital signs. Ability to multitask, prioritize responsibilities, and adapt quickly to the changing needs of a busy GI clinic while maintaining accuracy and professionalism.
