We're hiring an A Player Operations Manager to take ownership of the schedule, team accountability (vendors, marketing partners, ect.) and the practice's financial systems, — the person who turns "everything runs through the owners" into a practice with a real operating system underneath it. This is a hands-on leadership seat, not an administrative one: you'll lead the team, run the numbers, run the meetings, and be in the building doing it. What You'll Own Run the practice's daily and weekly operating rhythm — morning huddle, weekly ops/financial alignment meeting with the owner, team meetings — off documented checklists, not memory. Own the schedule:
get us scheduled to goal and maximize treatment-room and provider (injector, laser tech, aesthetician) utilization. Hold the clinical and front-office team accountable to KPIs — treatment-plan/package acceptance rate, membership and touch-up reappointment rate, AR days, new-patient flow — including the hard conversations when someone isn't hitting standard. Own the
P&L:
manage accounts payable/receivable and cash flow, work with our accountant on budgets and margins, and know exactly how profitable the practice is at any given moment. Own HR for the clinical and front-office team: hiring, onboarding, performance reviews, compliance, and, when necessary, terminations. Build and maintain the practice's KPI dashboard, and use it — not a spreadsheet nobody opens — to run weekly decisions. Build the quarterly and annual business plan alongside the owners and drive execution against it. Step in personally when needed — run a treatment-plan/financial presentation, resolve an insurance or membership billing issue — without that becoming the majority of your week. What Success Looks Like The owners is no longer the default escalation point for staffing, scheduling, or day-to-day operational inquries. The schedule stays consistently full, with treatment-room and provider utilization trending up. Team accountability metrics — package acceptance, reappointment rate, AR days — move in the right direction month over month. A KPI dashboard exists, stays current, and actually drives weekly decisions. The owner's day-to-day operating hours go down while practice profitability goes up. What We're Looking For Proven experience leading and managing a team of 5+ people and owning outcomes, not just tasks — aesthetic, medical, dental, hospitality, or other service-business leadership all count. Healthcare or aesthetics experience is a plus, not a requirement. Comfortable having direct accountability conversations without avoiding them.
Financially literate:
comfortable reading a P&L, managing AP/AR, and working with an accountant on budgets and margins. Experience building or running KPI dashboards and operating off checklists/SOPs rather than tribal knowledge.
HR fundamentals:
hiring, onboarding, performance management, basic employment compliance. Willing to be a doer, not just a delegator — this is a hands-on seat, especially in the first six months.
