Job Overview We are seeking a dedicated and compassionate Patient Care Coordinator to join our healthcare team. In this vital role, you will serve as the primary point of contact for patients, ensuring a smooth and positive experience from appointment scheduling to follow-up care.   • Provide a warm, empathetic, professional presence before, during, and after ketamine treatment.
  • Monitor patient comfort and observe for changes during treatment; obtain/record vital signs within the employee's training and authorized scope .
  • Remain attentive to patients throughout treatment and promptly communicate concerns to the licensed clinical provider.
  • Serve as a calm, reassuring physical presence/chaperone while maintaining appropriate professional boundaries.
  • Recognize and immediately escalate concerning physical, behavioral, or psychological changes according to clinic protocol.
  • Assist with patient arrival, preparation, recovery, discharge, and transportation/safety protocols as directed by the clinical team.
  • Maintain patient privacy, dignity, confidentiality, and a non-judgmental environment.
  • Understand and follow clinic emergency procedures and escalation protocols.
  • Maintain familiarity with emergency equipment and supplies appropriate to the employee's role.
  • Schedule, reschedule, and confirm appointments accurately.
  • Maintain accurate patient demographics, intake forms, consent documentation, and other records.
  • Perform accurate data entry with strong attention to detail.
  • Maintain organized electronic and/or physical records according to clinic procedures.
  • Serve as a primary point of contact for routine patient communications.
  • Communicate treatment logistics and clinic procedures clearly and professionally.
  • Know the difference between administrative questions and clinical questions requiring provider involvement.
  • Escalate clinical questions rather than providing medical advice outside the employee's role.
  • Coordinate follow-up appointments and treatment reminders.
  • Provide a consistently warm, discreet, professional patient experience.
  • Collect and process patient payments accurately and discreetly.
  • Know when and how to immediately notify the prescribing/medical provider of a patient concern.
  • Maintain accurate treatment-room safety checks and report equipment/supply issues promptly.
  • Follow infection-control, sanitation, and exposure-control procedures.
  • Accurately document vital signs, observations, patient status, and other assigned clinical information.
  • Complete documentation promptly and according to clinic procedures.
  • Protect PHI and maintain HIPAA-compliant handling of patient information.
  • Prepare treatment rooms before each patient.
  • Complete thorough room turnover between patients.
  • Maintain a clean, quiet, organized, boutique-level patient environment.
  • Monitor supplies and notify management before essential supplies run low.
  • Manage a complex, changing calendar while balancing front-desk and clinical responsibilities.
  • Handle payment information and patient financial information confidentially.
  • Provide receipts and accurately document payments according to clinic procedures.
  • Resolve routine scheduling/payment questions or escalate appropriately.
  • Maintain composure and professionalism with patients experiencing anxiety, altered perception, or emotional vulnerability.
  • Demonstrate empathy without becoming overly familiar or crossing professional boundaries.
  • Maintain confidentiality at all times.
  • Demonstrate punctuality, reliability, and strong follow-through.
  • Maintain a polished, welcoming appearance consistent with the clinic's brand.
  • Communicate effectively with providers and other clinic staff.
  • Anticipate clinic needs rather than waiting to be directed for routine tasks.
  • Help maintain efficient patient flow.
  • Assist with inventory, supplies, room preparation, and general clinic organization.
  • Maintain a "see it, own it" attitude toward appropriate operational issues.

Pay:
$20.00 - $22.00 per hour Expected hours: No more than 15.0 per week
