Job Description

Patient Care Coordinator Vitality Integrative Wellness Temecula, CA Job Details Full-time From $22 an hour 8 hours ago Benefits Health insurance 401(k) Paid time off 401(k) matching Employee discount Qualifications Customer communication Teamwork Phone communication Client rapport building Greeting customers Practice management software Employee relationship building Full Job Description This Is More Than a Front Desk Job At Vitality Integrative Wellness, we're looking for someone who can be the heartbeat of the front of our practice while learning how the entire patient experience works. Yes, you'll help manage the front desk. But if you're looking for a job where you simply check patients in and out, answer phones, and wait for someone to tell you what to do next, this probably isn't the right fit. We're a growing integrative wellness practice, and we're looking for someone who wants to grow with us. This person will start by learning the front of the practice from the ground up: our patients, scheduling, services, systems, communication, follow-up, and how we make the day flow. From there, you'll begin learning more of the new-patient and sales side of the practice—following up with prospective patients, understanding their needs, helping them know what happens next, and eventually supporting parts of the consultation process. Think of this role as a combination of patient experience, front office coordination, follow-up, and junior patient sales . For the right person, this can become much more than a front desk position. Who We're Looking For We joke that the right person needs eight arms, eight legs, and the ability to do it all with a smile. There's some truth to that. A day in our practice can move quickly. A patient may need you at the front desk while the phone is ringing, a provider has a question, the schedule changes, and a teammate needs help. We need someone who can stay calm, prioritize, communicate, and keep moving without becoming overwhelmed. You don't say, "That's not my job." You look around, see what needs to happen, and help the team make it happen. You're someone who: Genuinely enjoys taking care of people Builds trust quickly and communicates confidently Takes initiative instead of constantly waiting for direction Can handle a fast-moving day without losing your composure Is organized and able to manage multiple priorities Notices when something is falling through the cracks and takes action Is comfortable following up by phone, text, and email Wants to understand the WHY behind how the practice operates Is interested in learning patient communication, sales, and the consultation process Can receive feedback, reset, and keep going Believes the team wins when everyone jumps in and does what needs to be done Wants a position where increased capability can lead to increased responsibility What You'll Own An Exceptional Patient Experience You'll help make sure patients feel welcomed, heard, cared for, and clear about what happens next. You'll become someone patients and teammates know they can count on. A Front Office That Flows You'll work closely with our existing front-office team to keep patient flow, scheduling, communication, and the day-to-day operation of the practice moving smoothly. Patient & Lead Follow-Up You'll help make sure new patient inquiries, warm leads, recalls, confirmations, and follow-up don't fall through the cracks just because the practice gets busy. Learning the Entire Patient Journey We want you to understand much more than the front desk. You'll learn how a patient moves from their first call through scheduling, consultation, treatment, follow-up, and ongoing care. Growing Into Patient Sales & Consultation Support As you master the front of the practice, you'll begin learning from our new-patient and sales team. That can include following up with prospective patients, learning how we discuss our services and their value, and eventually supporting appropriate parts of the consultation process. What Success Looks Like Within your first 90 days, we want you to become someone the team can depend on.
That means:
The Practice Manager doesn't have to constantly oversee the front desk Patients know what is happening and what comes next Fewer leads and follow-ups fall through the cracks You become a strong right hand to our existing front-office team You understand our services, systems, and patient journey You can prioritize when multiple things need attention at once You take ownership instead of waiting to be told every next step You begin supporting patient and lead follow-up independently You're actively learning the new-patient and consultation side of the business Your presence makes the entire admin team work better Our Culture Matters At Vitality, we're here for our patients, but we also understand that great patient care only happens when the team works together.
Our core values include:
A Team Approach We Listen. We Hear You. We've Got You. A Healing Smile You Can Feel Different Thinking to Drive Your Best Results A Belief in Your Future. A Vision for Tomorrow. We take those seriously. There will be great days and stressful days. We need someone with the emotional regulation to handle both. You need to be able to have a difficult interaction, solve the problem, reset, and still greet the next patient with the warmth and confidence they deserve. Experience That Could Help Experience in any of the following can be valuable: Medical or healthcare front office Patient scheduling Customer or patient service Consultative sales Wellness or functional medicine Patient education Lead follow-up High-end service or hospitality Medical practice software But we're not only hiring a résumé. We're looking closely at how you think, how you communicate, how you handle pressure, how you treat people, and whether you take ownership. Compensation & Benefits Starting pay: approximately $22/hour, based on experience and fit. Full-time position with benefits. This role is designed to grow. As you demonstrate that you can independently own the front-office patient experience and take on greater responsibility in follow-up, new-patient communication, and sales support, there is an opportunity for the role, and compensation, to grow with you.
Before You Apply Ask yourself:
"Do I want a front desk job, or do I want to learn how a great practice actually runs?" We're looking for the second person. If you're energized by helping patients, solving problems, learning the business, supporting your teammates, and becoming capable of taking on more responsibility over time, we'd like to hear from you. Please submit your résumé and tell us briefly: Why does this position at Vitality appeal to you? Tell us about a time when work became stressful or chaotic. How did you handle it? Give us an example of something you noticed wasn't getting done and took ownership of without being asked. What interests you about learning both the patient-care/front-office side AND the sales/new-patient side of a medical practice? Please do not call the office regarding your application.
