Job Description

About the Role We are looking for a warm, organized, high-ownership Patient Experience Coordinator / Lead Chiropractic Assistant to help create an exceptional patient experience while keeping the front end of our practice running smoothly. This role is highly patient-facing and directly impacts the health of the practice. You will help manage the patient journey from the first phone call through active care, making sure leads are followed up with, schedules stay full, patients feel cared for, and important details do not fall through the cracks. We are looking for someone who is naturally outgoing and personable, but also organized, proactive, and dependable. As the practice grows, there is opportunity to take on more responsibility in systems, operations, and team leadership. What You'll Own Greet patients and create a warm, welcoming experience Check patients in and keep clinic flow organized Answer phone calls and respond to patient texts Schedule appointments and care plans Collect payments and help maintain accurate accounts Follow up with new leads quickly and consistently Help convert inquiries into scheduled new-patient appointments Manage confirmations, cancellations, no-shows, and rescheduling Keep patients prebooked and engaged in their care Follow up with patients who fall off schedule Run reactivation lists and outreach Support CMR scheduling and coordination Help coordinate clinic events and patient campaigns All scans from start to finish Preparing patients for scans Making sure scans are completed on time Making sure scan results are organized and ready for you Tracking who is due for a scan or rescan Maintain accurate patient information and front-desk systems Notice problems, communicate them early, and help create solutions Help improve front-desk processes as the practice grows What Success Looks Like You are doing well in this role when: Patients feel known, welcomed, and cared for Leads are followed up with consistently New patients get scheduled quickly The schedule is organized and well managed Cancellations and no-shows are followed up on Patients stay engaged throughout their care Payments and communication are handled accurately Fewer opportunities are lost because someone forgot to follow up The front desk feels calm, organized, and proactive You can be trusted to own your responsibilities without being chased You'll Be a Great Fit If You Are naturally warm, friendly, and confident with people Have strong communication skills Are extremely organized Follow through without needing repeated reminders Can handle multiple priorities without becoming scattered Take ownership when something needs attention Notice details other people may miss Are comfortable making phone calls and following up with leads Enjoy helping people and building relationships Can receive feedback without becoming defensive Are willing to learn numbers and understand how your role impacts the practice Want to grow with a company rather than simply clock in and out Experience in chiropractic, healthcare, hospitality, customer service, sales, or a busy front-office environment is helpful, but attitude, ownership, and follow-through matter most.
