QUALIFICATIONS
High school graduate - higher education in the field of Medical Records is desired, but not required Ability to thrive in high paced environment Excellent/professional telephone skills a must Knowledge of medical/ dental terminology and protocols Electronic Health Record (EHR) skills Knowledge of patients' rights and medical-legal aspects for release of information Strong computer navigation ability and keyboarding skills for data entry Ability to operate common office/ facility equipment (print/scan/copy/fax) Basic knowledge of patient accounting and insurance systems Basic knowledge of the requirements for patient scheduling and processing for surgical procedures Bilingual (Spanish/English) required Ability to set standards in checking records for completeness and accuracy in patient records Hold a current BLS or complete one within 90 days of hire Must be able to adapt quickly efficient office routine and to work under conditions of frequent interruptions Attention to detail, with high degree of accuracy in work performed is a must
RESPONSIBILITIES
Answers telephone and directs calls Scheduling and confirming patient appointments Regularly check incoming faxes and emails throughout the day Listen and respond to voice messages throughout the day Perform height and weights on patients Requests and confirms insurance prior authorizations Turns over pre-op areas for next patient Set up basic patient chart for each surgical patient Performs daily record retrieval functions based on current patient schedule and authorized requests. Maintains a system of record accountability to define the chart location, completion status, and copying/distribution Ensure all scheduled patients have completed charts and documentation necessary for treatment Educates patient families on preparation requirements for day of treatment, to ensure safe, successful case delivery Ensuring schedule is consistently filled to pull through delivery of care to at least 9 patients daily (Special Needs Day is an exception) Reviews charts for upcoming patients to ensure all required items are received Typing/data entry of patient information Present treatment plans to patient families Performs up-front collections of deductibles and co-pay from patients as calculated by Medical Biller Assists patient in filling out required forms ensuring completeness and accuracy. Makes a copy of the patient's insurance identification cards Witnesses the signing of medical-legal documents when appropriate Monitoring patient flow and communicating with OR and nurses Communicating with internal and external providers for patient care information and treatment planning Assisting with Spanish interpretation Acts as a liaison between the care team and patient's family as needed Maintains cleanliness and order of patient lobby in the morning and throughout the day Maintains patient confidentiality standards for both medical and financial information Participates in compliance programs such as HIPAA, Safety training, Participates in loss prevention by protecting company property and maintaining a safe environment Refer charts back to appropriate staff members for completion Compile quarterly report on medical record deficiencies for Quality Improvement Coordinator Compile monthly procedure analysis and presents to Quality Improvement Coordinator and CEO Assist Quality Improvement Committee in selecting charts for peer review or other purposes Assure the confidentiality of all records by required the patient's written permission for release of chart information Assure that the medical record is not shown to the patient or anyone else unless the physician approves Assure that all surgical charts are locked at end of day Performs all other duties as assigned
