Position Overview:
The Patient Care Coordinator at The Barnett Clinic LLC plays a central role in delivering the clinic's signature patient experience. The Patient Care Coordinator serves as the first point of contact for patients and families, ensuring every interaction reflects the clinic's values of warmth, clarity, efficiency, and clinical excellence. This role supports both front office operations and the broader care team by facilitating seamless scheduling, accurate intake, and a welcoming environment that empowers patients throughout their treatment journey. The coordinator contributes directly to the clinic's mission of providing evidence based, minimally invasive musculoskeletal care with exceptional service and communication.
RESPONSIBILITIES
Answering incoming calls to the practice o Gather information from the patient and direct their concerns or questions to the appropriate party o Completely and accurately register a new patient to the practice, scheduling their initial appointments o Schedule follow up appointments or answer basic administrative questions related to referrals, bills, etc. Check-in/Check-out o Greet patients upon arrival, assist with patient check-ins, and obtain insurance information and other necessary data o Provide patients with appropriate intake and new patient forms o Verify insurance eligibility at the time of check-in o Verify appropriate insurance referrals are on file at the time of the appointment o Collect co-pays and co-insurance at the time of service whenever possible o Collect self-pay payments for procedures not covered by insurance o Schedule follow-up appointments at check-out o Provide patients with support and guidance as needed Appointment prep o Verify referring provider/office and where the patient has had previous imaging/testing done o Gather records prior to appointment or confirm that patient will be bringing records with them Maintains patient accounts by recording and updating personal and financial information required for proper insurance billing Sort incoming faxes and assign them to the appropriate staff member Maintain office inventory and equipment by checking stock and determining inventory level, anticipating necessary supplies, verifying receipts, and scheduling services/repairs. Protects patients' rights by maintaining medical, personal, and financial confidentiality Ad hoc projects and assignments as required

QUALIFICATIONS
High school diploma or equivalent required. Medical office experience (preferred) Experience with Computer systems required, including web-based applications and some Microsoft Office applications (Outlook, Word, Excel, etc.)
