The Role:
The Front Desk Coordinator is the heart of our clinic operations. You are the primary point of contact for our families, caregivers, and referral sources, ensuring they feel welcomed from their very first inquiry. This role blends high-level administrative organization with compassionate client service, working collaboratively with our clinical and billing teams to keep our therapy operations running seamlessly. What You'll Do Create a
Welcoming Experience:
Serve as the first point of contact for families, managing communication via phone, email, and our patient portal with empathy and professionalism.
Master Scheduling:
Coordinate therapy appointments across OT, SLP, PT, and Mental Health disciplines. You will be responsible for filling schedule gaps, managing cancellations, and ensuring our therapists are supported so they can maximize care for our families.
Manage Administrative Workflow:
Handle EMR data entry with high attention to detail to ensure seamless claims processing. Support the
Team:
Collaborate with the Client Services Team and then Billing Department to track authorizations and maintain clinic policies.
Office Stewardship:
Maintain a tidy, organized reception area and assist with daily office support tasks, ensuring the clinic remains a safe and welcoming space.
What We're Looking For Experience:
1-2 years of experience in a medical, therapy, or pediatric healthcare office setting is preferred.
Administrative Skills:
Proficiency with standard office software (Google Workspace/Microsoft Office) and experience with Electronic Medical Records (EMR) or practice management systems.
Communication:
A clear and compassionate communicator who can handle sensitive insurance or scheduling information with families who may be managing the stress of their child's therapy needs.
Organization:
A problem-solver who can juggle multiple schedules, authorization timelines, and patient accounts simultaneously.
Education:
High school diploma or equivalent required; Associate's or Bachelor's degree in a related field is a plus.
Schedule :
