This is not a quiet, one-task-at-a-time front desk position . Our office is fast-paced. You will learn multiple systems and regularly balance patients, phones, scheduling, administrative responsibilities, and changing priorities. There is a significant learning curve initially. We provide training and support, but we're looking for a quick learner who retains information, takes initiative, solves problems, and becomes increasingly independent. If you enjoy being busy, learning new things, improving systems, and making a meaningful contribution, you may thrive here. Schedule Regular patient-care hours are generally:
Monday-Friday:
approximately 2:00-7:00
PM Saturday:
approximately 9:00 AM-4:00 PM This expanded position may include additional daytime/morning hours for administrative work, projects, training, marketing, office improvements, and coverage when our Office Manager is away. Some flexibility is required, as patient care occasionally extends beyond scheduled hours. What You'll Do Your primary responsibility is helping us deliver an exceptional patient experience while keeping the office organized and running efficiently.
Responsibilities include:
Greeting patients and managing patient flow Answering phones and scheduling appointments Patient communication and follow-up Insurance verification, referrals and authorizations Payments and accurate record management Maintaining HIPAA standards and patient confidentiality Patient retention and reactivation Supporting daily office operations You'll also have opportunities to take ownership of projects such as: Creating and improving office SOPs Creating simple training videos and materials Streamlining office systems and procedures Social media and marketing Canva, photos, videos/reels, and content creation Organizing digital files and office resources Community outreach and practice-growth projects Who We're Looking For You are: Extremely reliable, punctual, and accountable Highly organized and detail-oriented A proactive self-starter who sees what needs to be done A quick learner who retains and applies new information An excellent multitasker who stays calm under pressure Resourceful and comfortable solving problems independently Someone with exceptional follow-through Comfortable with computers and learning technology Friendly, warm, and professional with patients Genuinely comfortable with babies, children, and pregnant patients Interested in learning, improving, and growing Looking for a long-term position and team to become part of Experience with healthcare/chiropractic offices, insurance, HIPAA, Microsoft Office/365, EMRs, social media, Canva, video editing, or SOP creation is highly valued.
