Clinical Administrative Coordinator
Job Description
Overview Universal Comprehensive Health Services (UCHS) is seeking a dependable, organized, and proactive Clinical Administrative Coordinator to support the daily administrative and clinical-support needs of one of our office locations and the Case Management team working in the field. This position is primarily office-based and is ideal for someone who is comfortable working in a fast-paced healthcare environment, managing multiple priorities, maintaining accurate records, and following through on outstanding items. The ideal candidate will also have phlebotomy training and experience and be comfortable performing blood draws and assisting with specimen-related needs when required. Responsibilities Receive and reconcile paperwork, laboratory specimens, medication manifests, and other materials returned by Case Managers and field staff. Review submitted paperwork for completeness, required signatures, missing information, and other discrepancies requiring follow-up. Scan, upload, organize, and maintain patient documentation, including H&L forms, consents, intake/triage documents, laboratory paperwork, insurance documents, medication paperwork, and manifests. Receive and properly prepare laboratory specimens for processing, pickup, storage, shipment, or delivery according to established procedures. Perform blood draws/phlebotomy duties as needed. Assist with specimen collection and other laboratory-related responsibilities within the employee's training and qualifications. Enter and update active insurance information in Quest and assist with maintaining accurate patient information. Track medication manifests and follow up on missing, incomplete, or outstanding manifests. Maintain appropriate copies of medication-related documentation and route information to the pharmacy as required. Follow up on unresolved administrative items that could delay patient care, laboratory processing, insurance enrollment, medication coordination, or other services. Keep track of inventory for the assigned location and monitor supply levels so replenishment from the main office can be requested proactively before supplies run low. Maintain an organized office environment and ensure frequently used forms and supplies are readily available to staff. Communicate with Case Managers, office staff, clinical staff, pharmacy personnel, and other appropriate team members regarding outstanding needs. Provide temporary field coverage when necessary due to call-outs, vacation, PTO, or other short-term staffing needs. Deliver medications to patients, facilities, or designated locations as needed while following organizational medication-handling and chain-of-custody procedures. • High school diploma or equivalent required. Phlebotomy training required. Previous phlebotomy experience strongly preferred. Must be comfortable and competent performing blood draws when assigned. Previous experience in a healthcare, medical office, laboratory, case management, or similar environment preferred. Experience working with Quest or laboratory-related workflows is a plus. Strong organizational skills and attention to detail. Strong follow-through and ability to identify and resolve missing or incomplete items. Ability to manage multiple responsibilities and shifting priorities in a fast-paced environment. Comfortable communicating with both office-based and field-based team members. Ability to maintain patient confidentiality and appropriately handle protected health information. Ability to provide occasional field support as needed. Valid driver's license and reliable transportation required for occasional medication delivery and field-support responsibilities. Ability to work independently while remaining accountable to established workflows and deadlines. This is primarily an office-based position . The employee will serve as an administrative support point for Case Managers and help ensure that paperwork, laboratory items, medication documentation, inventory, and other operational needs do not fall through the cracks. Although the position is primarily administrative, phlebotomy is an important component of the role , and the employee must be prepared to perform blood draws and assist with specimen-related needs when required. Field responsibilities are secondary to the administrative role and may include temporary staffing coverage, specimen-related needs, medication delivery, or other support consistent with the employee's training, qualifications, and organizational policies. We are looking for someone who takes ownership of their responsibilities, notices what is missing before it becomes a problem, and understands the importance of accurate and timely follow-up in a healthcare environment.
Pay:
$20.00 - $22.00 per hour Expected hours: 40.0 per week
