This role owns the phones — scheduling appointments, answering patient questions, and resolving issues quickly and warmly — while also managing check-in/check-out at the front desk. The right person makes patients feel heard and taken care of, even when the day gets busy.
What You'll Do Phones & Scheduling:
Answer a high volume of calls promptly and professionally, scheduling, rescheduling, and confirming appointments
Problem-Solving:
Resolve patient issues on the spot — billing questions, insurance concerns, referral mix-ups, prescription refill requests — or route them to the right person and follow up until closed
Front Desk:
Greet patients, verify insurance and demographic information, and manage check-in/check-out
Follow-Up:
Send appointment reminders and follow up on no-shows/cancellations to keep the schedule full
Records:
Keep patient records accurate and up to date in the EMR/scheduling system
Coordination:
Coordinate with clinical staff to manage same-day add-ons, urgent cases, and provider schedule changes What We're Looking For Required 1+ year of experience in a customer service or call-center role that involved heavy phone contact (medical office experience a plus, not required) Excellent phone manner: clear, warm, patient, and calm under pressure Strong organizational skills and comfort multitasking between phones, walk-ins, and a scheduling system Genuine problem-solver — doesn't pass the buck, follows through until a patient's issue is actually resolved Reliable, punctual, and comfortable working full-time in office Basic computer proficiency (email, EMR/scheduling software, general office tools) Fluent in Spanish Preferred Experience with medical scheduling/EMR software (e.g., DrChrono, ModMed, athenahealth, NextGen, or similar) Familiarity with medical insurance verification and referrals Bilingual (English/Spanish or English/Creole) — valuable for both South Florida locations Compensation & Schedule Full-time, Monday-Friday, standard business hours (specify start/end times and any rotating coverage) Competitive hourly pay, based on experience How to Apply Submit a resume and a brief note on why you enjoy working with patients/customers.
