From the first phone call to the final check-out, you will help patients understand what comes next, stay consistent with their care, and feel confident that they chose the right clinic. You will also work closely with our clinical team to keep schedules full, information accurate, communication clear, and the day running efficiently. What You Will DoNew Patient Conversion & Scheduling Respond quickly and professionally to new patient inquiries and referrals Contact prospective patients by phone and email Convert qualified leads into scheduled evaluations Build trust with patients who may be nervous, uncertain, or unfamiliar with Physical Therapy Schedule and confirm appointments Maintain a strong, productive clinic schedule Follow up with patients who have not yet scheduled Help reduce cancellations and improve patient attendance Support patients in completing their recommended plan of care Insurance & Financial Coordination Verify insurance benefits and patient eligibility Assist with insurance authorizations Explain insurance coverage, deductibles, copays, and patient responsibility clearly Collect patient payments professionally Help patients understand the financial side of their care without making the process feel overwhelming Maintain accurate documentation related to insurance and payment information Patient Care & Front Office Operations Welcome patients and create a positive, professional first impression Check patients in and out efficiently Answer incoming calls with confidence and warmth Monitor the schedule throughout the day Communicate schedule changes and patient needs with the clinical team Solve front-office problems before they become larger issues Keep the reception area organized and welcoming Help create an experience where patients genuinely feel cared for EMR, Data Accuracy & Administrative Support Enter and maintain accurate patient information in the EMR Maintain organized and complete electronic patient records Complete administrative tasks accurately and on time Use Google Workspace for day-to-day communication and organization Help ensure information is correctly documented and communicated across the team Support referring provider and case management communication when needed Unified Rehabilitation currently uses Prompt EMR, Google Workspace, and Weave phones . Previous experience with these systems is helpful but not required. Great Fit If You:
Have 3+ years of front desk, Patient Care Coordinator, medical administrative, or similar healthcare experience Have previous healthcare or medical front-office experience Are comfortable with insurance verification and authorizations Communicate clearly, warmly, and confidently by phone Have strong customer service skills Are extremely detail-oriented Take pride in doing things correctly Can manage several priorities without becoming overwhelmed Are comfortable following up with prospective patients and helping convert inquiries into scheduled appointments Have strong organizational and problem-solving skills Are comfortable using computers, EMRs, and Google Workspace Take ownership instead of waiting to be told what to do Care about the experience patients have when interacting with the clinic Are coachable and willing to participate in proven sales and lead-conversion training Want an opportunity to grow into greater responsibility and leadership Experience with Prompt EMR, Weave, or similar healthcare software is a plus, but not required.
What You Will Receive Pay:
$20 to $24 per hour Compensation will depend on experience, skills, and overall fit for the role.
