Our clinic is more than a therapy center. It's a beautiful, sensory-friendly environment designed to inspire learning, play, imagination, and connection. As our Office Manager, you will be at the heart of the clinic. You'll be the welcoming face families see when they walk through our doors, the person who keeps the day moving, and a key partner to our clinical and leadership teams. WHAT YOU'LL DO
Every day at SOS is different—and that's part of the fun! You'll use your organization, communication, problem-solving, and multitasking skills to keep our clinic running smoothly while creating a warm and welcoming experience for children, parents, and staff. Be the Heart of the Clinic Welcome children and families with warmth, professionalism, and a smile. Manage the front desk and serve as a friendly first point of contact. Answer phones, respond to emails, send/receive faxes, and communicate with families and staff. Check clients in and out accurately and efficiently. Help maintain a clean, organized, welcoming lobby and conference room. Create an Exceptional Family Experience Give tours to prospective families and introduce them to the SOS experience. Assist families with the client intake and admissions process. Collect and organize required intake documentation. Schedule assessments and coordinate appointments. Help families navigate insurance-related requirements. Track cancellations and help minimize gaps in the daily schedule. Keep the Clinic Moving Create and maintain daily client and staff schedules. Coordinate appointments and communicate schedule changes. Monitor attendance, cancellations, and schedule changes. Understand what needs to happen now versus what can wait—and act accordingly. Anticipate problems before they become problems. Support Insurance & Administrative Operations Assist with insurance benefit verification. Submit and track preauthorization requests. Maintain accurate client records and documentation. Help ensure administrative processes are completed accurately and on time. Manage the Details Monitor and order office and clinic supplies. Maintain inventory and ensure the team has what they need. Coordinate staff lockers, uniforms, and onboarding materials. Help new employees feel welcomed and prepared from Day One. Create Community You'll help make SOS a place where people want to be . Coordinate quarterly autism community social events. Help plan client field trips and coordinate permission slips and transportation. Organize staff celebrations and team-building activities. Help create a positive, fun, and connected clinic culture. Help Develop Our Team Assist with staff onboarding and orientation. Review the employee handbook with new team members. Coordinate required training and certifications. Conduct staff performance reviews every six months in partnership with leadership. Help identify opportunities to recognize, encourage, and develop team members. WHY SOS? Training & Support From Day One You won't be expected to figure everything out on your own. Two weeks of initial management training through our corporate office Approximately one week of travel to Houston, TX may be required for training Live remote support and ongoing training from SOS Franchising Access to a robust Learning Management System (LMS) Continued professional development and coaching A Culture of Continuous Improvement Every six months, our corporate team conducts a positive, supportive Quality & Compliance Audit . The goal isn't to "catch" people doing something wrong. It's to identify opportunities, provide resources, strengthen our systems, and help each clinic become even better.
COMPENSATION & BENEFITS
Salary:
