Patient Access and Imaging Coordinator We are an outpatient diagnostic imaging center serving patients and referring providers throughout Metro Atlanta. We are seeking a dependable, organized, and compassionate Patient Access and Imaging Coordinator to support our front-office and scheduling operations. This position is responsible for patient communication, intake, forms, MRI and CT scheduling, appointment follow-up, and accurate front-end documentation. The ideal candidate is comfortable working with patients, referring offices, medical records, and web-based healthcare systems. Spanish-speaking ability is strongly preferred but not required. What you will do
- Answer and route patient phone calls, emails, and messages
- Contact patients regarding new imaging referrals and appointments
- Schedule MRI, CT, ultrasound, and other approved imaging studies
- Confirm the correct patient, exam, body part, referring provider, and appointment date
- Review incoming orders and referrals for completeness
- Identify missing orders, diagnosis information, demographics, or required documentation
- Send and track patient intake forms through Doctible or other approved systems
- Follow up on incomplete MRI safety, CT contrast, HIPAA, and demographic forms
- Confirm appointments and provide patients with preparation and arrival instructions
- Handle cancellations, rescheduling, and no-show follow-up
- Maintain accurate patient and appointment information in PracticeSuite and related systems
- Communicate professionally with patients, physicians' offices, attorneys, and referral sources when scheduling information is needed
- Coordinate with technologists when a scheduling question requires clinical review
- Assist with routine patient and provider image requests through approved image-sharing systems
- Document patient communication, scheduling activity, and unresolved issues
- Escalate clinical, billing, legal, or technical issues to the appropriate team member
- Protect patient privacy and follow HIPAA and Georgia Health Imaging procedures What this role does not own This is a patient-access and scheduling position.

- Claim submission
- Medical coding
- Denial management
- Payment posting
- Collections
- Credentialing
- LOP approval
- Clinical interpretation
- MRI safety clearance
- CT contrast clearance
- PACS, VPN, or network administration You will work closely with our billing and referral operations teams, but each department has clearly defined responsibilities. Required qualifications
- Previous experience in a medical office, imaging center, physician practice, hospital, or healthcare scheduling environment
- Strong customer service and communication skills
- Excellent organization and follow-through
- Ability to manage multiple appointments, patients, and open tasks
- Comfort using email, spreadsheets, and web-based software
- Ability to learn PracticeSuite, Doctible, and other healthcare systems
- Professional handling of confidential patient information
- Ability to remain calm and courteous with patients who may be in pain, anxious, or frustrated
- Reliable attendance and consistent follow-up Preferred qualifications
- Experience scheduling MRI or CT examinations
- Experience in radiology, orthopedics, pain management, chiropractic, or personal-injury healthcare
- PracticeSuite, EHR, EMR, or medical practice-management experience
- Experience with Doctible or electronic patient intake forms
- Experience handling insurance information or referral documentation
- Experience with PACS, DICOM, PowerShare, InteleShare, or other image-sharing platforms
- Spanish-speaking ability
