Job Description

Overview We are seeking a dynamic and detail-oriented Front Office Associate to join our oral surgery team. In this vital role, you will serve as the first point of contact for patients and visitors, ensuring a welcoming and efficient front desk experience. Your expertise in dental administrative support, electronic health records management, and dental insurance knowledge will be essential to streamline clinic operations and uphold the highest standards of confidentiality and patient care. Responsibilities Greet patients and visitors warmly, providing exceptional customer service while managing appointment scheduling and patient check-in/check-out procedures. Verify patient insurance information, process payments, and assist with billing inquiries using WinOMS (dental practice software). Maintain accurate electronic health records (EHR) using systems like EMR/EHR platforms, ensuring compliance with HIPAA and clinical confidentiality policies. Review documentation for completeness and accuracy, including care plans, dental and medical records, and coding details. Handle phone communication professionally by answering inquiries, scheduling appointments, and directing calls efficiently with proper phone etiquette. Support clinical staff by managing dental office documentation review, filing dental records, and performing clerical tasks such as data entry. Assist with health information management tasks related to insurance providers to facilitate smooth billing processes. Skills Proven experience in dental office administrative support within a clinical setting. Excellent customer service skills combined with professional phone etiquette and effective communication abilities. Proficiency in Microsoft Office applications including Word and Excel for documentation and reporting purposes. Ability to navigate dental insurance processes and understanding of HIPAA regulations for maintaining patient confidentiality. Bilingual skills are highly desirable to serve diverse patient populations effectively. Prior clinic experience in a dental or medical setting is preferred; familiarity with dental terminology and clinical confidentiality policies is recommended.
