Job Description
Job Summary Athens Pelvic Physical Therapy & Wellness is a healthcare practice located in Watkinsville, GA providing pelvic and orthopedic physical therapy in a welcoming space. Our specialized physical therapists provide one-on-one, evidence-based treatment for adult women. The Patient Care Coordinator will often be the first introduction to our practice. This person creates an exceptional experience for every patient — from the first phone call through their final visit. They combine warmth, organization, and excellent communication skills to help women feel comfortable seeking care while ensuring the clinic runs smoothly each day. Responsibilities — Communication Greet all who enter the practice with a smile and a warm attitude Answer incoming phone calls and return messages promptly and professionally Communicate with physical therapists as needed regarding potential and current patients, relaying messages, and addressing any concerns Check emails, text messages, voicemails, and faxes daily Develop a strong understanding of our services and confidently answer questions about pelvic and orthopedic physical therapy Listen with empathy, educate prospective patients about our services, and help them determine whether our practice is the right fit for their needs Interface with referring physicians' offices on referrals, plans of care, and coordination of care Responsibilities — Scheduling & Records Schedule new and returning patients; enter patient information into the online system and necessary documents Help monitor patients' plans of care, including tracking follow-up visits Verify completion of intake paperwork before appointments Maintain therapists' schedules and help minimize cancellations Keep records of incoming inquiries up to date, track data, and follow up appropriately Send invitations for surveys and reviews to patients at appropriate points in their care, and report their feedback Responsibilities — Other Support special projects and community events Maintain strict confidentiality in accordance with HIPAA Privacy & Security Rules Assist with light office upkeep and supply management as needed Post on social media and respond to messages and comments as needed Other administrative tasks to assist clinic operations Qualifications & Requirements High school diploma required; Associate or Bachelor's degree preferred Minimum 1 year of customer service experience or similar
