Join Griffitts Facial and Oral Surgery as a Patient Coordinator, where your energetic and organized approach will be the heartbeat of our patient experience. In this vital role, you will serve as the primary point of contact for patients, ensuring smooth scheduling, accurate documentation, and seamless communication between patients, clinical staff, and insurance providers. This paid position offers an exciting opportunity to develop your skills in medical office management within a fast-paced healthcare setting. This is not simply a receptionist position. Our Patient Coordinators play an important role in ensuring that every patient arrives prepared for care, receives a professional and compassionate experience, and has accurate registration, insurance, financial, and clinical documentation in place before treatment. The ideal candidate is someone who enjoys working with people but is equally strong with details, organization, follow-through, and accountability. You should be comfortable managing multiple responsibilities throughout a busy clinical day while maintaining accuracy and a calm, welcoming presence. What You'll Do In this position, you will have primary responsibility for patient check-in and front-end administrative accuracy.
Responsibilities include:
Welcome and check in patients while creating a professional, attentive patient experience. Accurately register new and established patients and maintain demographics, contact information, guarantor information, and insurance profiles. Verify insurance eligibility and benefits, including deductibles, waiting periods, coverage limitations, and applicable procedure-specific information. Review patient records to ensure required HIPAA, financial, Medicare, Medicaid, consent, and other practice forms are current and properly completed. Collect patient payments at check-in according to established financial policies and documented treatment expectations. Accurately document and post front-office payments. Help prepare patients for upcoming surgical procedures by confirming required consents, instructions, and documentation are complete. Identify and resolve discrepancies that could delay treatment, billing, insurance processing, or patient care. Collaborate closely with our Accounts Coordinator, Practice Manager, clinical team, and fellow Patient Coordinators. Participate in front-office reporting, process improvement, cross-training, and other operational projects. What Success Looks Like We believe strong performance should be measurable. In this role, success includes: Accurate patient registration and insurance information Timely and complete insurance verification Accurate collection of patient financial responsibility Complete same-day documentation and data entry Properly completed patient forms and consents Patients administratively prepared for scheduled procedures Fewer billing corrections and claim issues caused by front-end errors Timely resolution of discrepancies Strong communication and collaboration across departments The position is specifically accountable for front-end accuracy, financial readiness, insurance integrity, and documentation quality. We're Looking for Someone Who Is Highly detail-oriented and accurate Dependable and accountable Organized and able to prioritize competing responsibilities Comfortable learning and working within electronic medical record and practice-management systems Confident communicating with patients about insurance and financial matters Professional, warm, and patient-focused Able to recognize discrepancies and take initiative to resolve them Comfortable working in a fast-paced healthcare environment A strong team member who communicates proactively Receptive to feedback, established processes, and performance expectations Able to maintain confidentiality and exercise sound judgment with sensitive patient information Preferred Experience Previous experience in a medical, dental, oral surgery, healthcare, insurance, or patient-coordination environment is preferred. Experience with any of the following is especially valuable: Medical or dental insurance verification Patient financial collections Electronic medical records Dental or medical practice-management software Treatment plans or insurance predeterminations HIPAA documentation Medicare or Medicaid documentation Surgical or specialty healthcare practices Candidates without direct oral surgery experience may still be considered if they have strong administrative skills, attention to detail, professionalism, and the ability to learn complex workflows quickly. Pay:
$23.00 - $28.00 per hour Expected hours: 40.0 per week
