Clinic Coordinator

Job Description

Nutrition & Clinic Coordinator Healthy All Time Nutrition - Bridgeview, IL Full-Time | In-Person Healthy All Time Nutrition is seeking a highly organized, personable, and motivated Nutrition & Clinic Coordinator to support our patients, Registered Dietitians, and daily clinic operations. This position is ideal for someone with an interest or background in nutrition or healthcare who also enjoys patient communication, scheduling, referral coordination, and administrative work. The coordinator will serve as a key point of contact for patients and referring medical offices and will help ensure that referrals, appointments, and patient follow-up are handled efficiently. Key Responsibilities Follow up on new patient referrals from physicians, medical offices, and other referral sources. Contact referred patients and assist them with scheduling their first appointment. Track referrals and follow up with patients who have not yet scheduled. Communicate with physician offices regarding referrals, missing information, and required documentation. Schedule, confirm, reschedule, and coordinate patient appointments. Follow up with new and existing patients regarding forms, appointments, and required information. Answer incoming phone calls, emails, and patient inquiries. Verify patient demographic and insurance information. Assist patients with completing required forms and consents. Maintain accurate and confidential patient records. Support Registered Dietitians with day-to-day patient coordination. Assist with personalized meal plans under the direction and supervision of a Registered Dietitian . Assist with InBody body composition testing and RMR testing . Prepare nutrition education materials, handouts, recipes, and patient resources. Help organize follow-up care and encourage patients to stay on schedule with their nutrition program. Maintain an organized and professional front desk and clinic environment. Perform data entry, document preparation, scanning, filing, and other administrative duties. Communicate with the clinical team to ensure smooth patient flow and clinic operations. Follow all clinic policies regarding patient confidentiality and protected health information. Perform other related duties as assigned. Qualifications A background in nutrition, health sciences, healthcare, or a related field is preferred, but a college degree is not required. Previous experience in a nutrition clinic, medical office, healthcare setting, or patient coordination role is preferred. Strong communication and customer service skills. Comfortable communicating professionally with patients and physician offices by phone and email. Excellent organizational and follow-up skills. Ability to manage multiple patients, referrals, and appointments at the same time. Strong attention to detail. Comfortable using scheduling systems, electronic health records, email, and office software. Ability to maintain patient confidentiality and handle sensitive information professionally. Fluency in English is required. Arabic and/or Spanish is a plus. Ideal Candidate We are looking for someone who is proactive and does not simply wait for patients to call. The ideal candidate will actively follow up on referrals, contact patients, keep appointments organized, communicate with referring medical offices, and help ensure that patients move smoothly from referral to their first visit and continued follow-up care. Schedule Full-time, approximately 40 hours per week .

9:30 AM-5:30
PM Saturday:
