Job Summary We are seeking an experienced, highly organized Assistant Surgery Manager/Director to support the daily administrative and operational functions of our Ambulatory Surgery Center. This position works closely with the Administrator, physicians, clinical staff, and patients and plays an important role in maintaining efficient office operations and regulatory compliance. The ideal candidate will have prior experience in an ambulatory surgery center or medical office surgical center and be comfortable managing multiple responsibilities, including human resources, physician credentialing, front-desk operations, medical records, patient scheduling, billing support, quality initiatives, patient care, and Life Safety/Environment of Care requirements. Key Responsibilities Oversee day-to-day front office operations and patient flow. Assist with human resources functions, including employee orientation, training documentation, personnel files, and employee concerns. Maintain organized and confidential employee, medical, and credentialing records. Assist with physician credentialing and recredentialing for the surgery center. Assist with maintaining compliance with regulatory, Life Safety, and Environment of Care requirements . Participate in quality improvement and regulatory readiness activities. Assist with inspections, logs, documentation, and required compliance records. Greet, register, and check out patients in a professional and courteous manner. Schedule appointments and confirm patient and surgical appointments. Contact and reschedule patients as necessary. Verify patient demographic and insurance information. Explain office billing procedures and collect applicable patient payments, deductibles, and copays. Prepare and maintain accurate medical and surgical records. Enter patient information into the electronic medical record/computer system. Communicate schedule changes and delays to patients and staff. Coordinate with physicians, medical assistants, nursing staff, and administration to maintain efficient patient flow. Assist with rooming patients when needed. Maintain patient privacy and confidentiality in accordance with HIPAA and organizational policies. Assist with maintaining an organized, professional, clean, and survey-ready environment. Perform additional administrative and operational duties as assigned by the Administrator.
Qualifications Required/Preferred Experience:
High school diploma or equivalent required. 2-3 years of experience in an ambulatory surgery center, surgical office, or comparable healthcare setting preferred. Previous medical office administrative experience. Experience with medical billing, insurance verification, collections, and patient scheduling preferred. Knowledge of Life Safety, Environment of Care, and healthcare regulatory requirements preferred. Experience preparing for healthcare regulatory or accreditation surveys is a plus. Knowledge of medical records, HIPAA, patient confidentiality, and healthcare documentation requirements. Proficiency with computers, electronic medical records, scheduling systems, and general office applications. Physical and Work Requirements This position requires the ability to sit, stand, walk, bend, reach, and perform routine office and patient-support activities. The employee must follow applicable infection prevention practices, Universal Precautions, and Occupational Exposure to Bloodborne Pathogens requirements. We are looking for an experienced healthcare professional who can take ownership of front-office operations while assisting the administration with credentialing, human resources, regulatory compliance, Life Safety, and quality initiatives. Ambulatory Surgery Center experience is highly desirable.
