Job Summary Are you dependable, hardworking, organized, and eager to learn? We are seeking a Highly Motivated Front Office Patient Coordinator to join our pediatric physical therapy team! This is a great opportunity for someone who wants to learn the ins and outs of a busy pediatric therapy clinic and grow with the practice. The right candidate will begin by learning the fundamentals of patient scheduling, patient check-in/check-out, front office procedures and protocols, and administrative responsibilities. There is Strong Potential for Advancement into an Insurance Coordinator / Manager role as the candidate's knowledge and experience grows. Once proficient with front office patient coordination and front office staff responsibilities the candidate will begin training on the insurance authorization processes which will provide for proper patient insurance verification, prior authorization processes, and medical office operations. This position offers an exciting opportunity to contribute to quality pediatric care while honing your skills in medical administration, insurance policies, and electronic health records management. Responsibilities Greet patients and families warmly, providing excellent customer service and guiding them through check-in procedures. Answer telephones and assist patients and their families with questions. Schedule and Manage Patient Appointments within our Electronic Medical Records Software System. Learn Basic Insurance and Authorization Procedures and Processes Communicate proficiently with other Staff Members, Patients, Therapists, Physicians, and Insurance Companies. Perform and Assist with all General Front Office and Administrative Duties. Maintain a Welcoming, Organized, and Efficient Front Desk Willingness to take on additional responsibilities as the Candidate's Skills and Knowledge develop and expand. Verify insurance coverage, perform insurance prior authorization requests, and ensure all necessary documentation is complete for pediatric visits. Maintain strict adherence to HIPAA (Health Insurance Portability and Accountability Act) regulations to safeguard patient confidentiality and clinical records. Prepare and process medical records requests, ensuring compliance with clinical confidentiality policies and proper documentation standards. Utilize Microsoft Office tools for data entry, report generation, and communication with team members. Excellent customer service skills with the ability to communicate clearly and empathetically with diverse patient populations. Understanding of clinical confidentiality policies such as HIPAA to ensure patient privacy at all times. Ability to multitask effectively in a fast-paced environment while maintaining attention to detail. Knowledge of Microsoft Office applications for documentation and communication purposes.
