Practice Growth & Executive Support Coordinator Elite Medspa and Wellness Center — Needham, MA Full‑Time | Medical Aesthetics Elite Medspa and Wellness Center is a premier, concierge‑level medical aesthetics practice known for exceptional patient outcomes, advanced treatments, and a luxury service experience. We are extending a select invitation to an individual who embodies refinement, confidence, and an elevated sense of presence. This role is reserved for someone who naturally carries themselves with distinction, someone poised, impeccably presented, and capable of representing a high‑end practice with effortless sophistication. This is more than a front-office position. As a key member of our leadership support team, you will play an integral role in growing the practice, strengthening client relationships, supporting executive initiatives, and ensuring a seamless luxury aesthetics and wellness experience. Primary Responsibilities Practice Growth & Business Development Manage and track new patient leads through the CRM system. Execute lead follow-up strategies to improve conversion rates and revenue growth. Develop patient retention, referral, and reactivation campaigns. Monitor and report on key metrics including lead conversion, client retention, and business performance. Collaborate with leadership and marketing on promotions, events, social media campaigns, and growth initiatives. Identify new opportunities to expand aesthetics and wellness services. Client Experience & Wellness Program Support Serve as a key point of contact for wellness and HRT patients. Coordinate scheduling, follow-up communication, and client engagement. Ensure a seamless, high-touch client experience from inquiry through treatment completion. Support cross-promotion of aesthetic and wellness services to improve client outcomes and retention. Executive Support Provide direct administrative support to the Practice Owner. Manage calendars, meetings, travel arrangements, conference registrations, and itineraries. Track conference and training follow-up items and ensure completion. Assist with operational projects and business initiatives as the practice grows. Front Desk & Operational Support Assist with patient scheduling, appointment confirmations, and client communications. Answer phones and respond to patient emails, texts, and inquiries. Send intake forms, treatment consents, and onboarding paperwork. Process patient transactions and support rewards programs such as Aspire and Alle. Request patient reviews and support reputation management efforts. Assist with inventory management, retail merchandising, and front-office operations as needed. Support the team during high-volume periods and maintain a professional client experience. Qualifications 3+ years of experience in business development, executive support, client relations in medical aesthetics and wellness. Strong sales, relationship-building, and organizational skills. Experience with CRM systems and performance reporting. Excellent written and verbal communication skills. Ability to manage multiple priorities in a fast-paced environment. Experience in medical aesthetics, wellness, healthcare, or luxury service industries required. Why Join Our Team?
