We are not a cookie-cutter office, and we are not looking for a cookie-cutter team member. Dr. Andrew Kary is a general dentist with oral surgery training, a mechanical engineering background, and Army Dental Corps experience. The practice does advanced work (implants, wisdom teeth, sedation, same-day restorations using zirconia milling and 3D printing) with high-end equipment in a small-team environment. There are no outside investors. No production quotas. No scripts. Staff interests are aligned with patient interests, not with a revenue target. The standard is clinical quality and honest communication. The Role We are building a team of front desk team members that want to work on an as needed basis. This is a strong part-time opportunity for an experienced dental front-office professional. You manage the patient experience from the first phone call through checkout. You handle scheduling, insurance verification and claims, billing, collections, and patient communication. You are the first and last point of contact for every patient. This is not a receptionist position. In a small practice, your work directly affects whether patients come back, whether claims get paid, and whether the schedule stays full. If you are good at this, it shows immediately. If you already have a primary position during the week and are looking for well-compensated Friday/Saturday work where your experience is valued and utilized, this role was designed for someone like you. What You Will Do Patient Experience & Communication Greet patients by name. Make them feel known. Answer phones respond to texts and online inquiries Guide patients through check-in and check-out Ensure every patient feels informed, valued, and cared for, including serving refreshments Scheduling & Practice Flow Manage appointment scheduling in CareStack (we will train you on CareStack if you haven't used it) Review each day's schedule in advance: verify insurance, flag outstanding balances, confirm lab cases, note medical alerts Fill the schedule within our framework Schedule next appointments at checkout. Never "we'll call you." Confirm appointments and manage patient communications Insurance, Billing & Financial Verify insurance eligibility and benefits before appointments Submit claims electronically on day of service, track claim status, resolve denials Present patient financial responsibility clearly at checkout: what was done, what insurance covers, what the patient owes Collect payments and post them accurately Help patients access third-party financing when needed Follow up on outstanding balances: statements, calls, escalation per policy Daily Operations Run daily financial close reports: payment reconciliation, production summary, claim submission verification Maintain recall/recare outreach for patients who are due and haven't scheduled Maintain organized digital records and workflows Who We Are Looking For This role requires dental front-office experience. 2+ years in a dental front office. You know how to read an EOB. You know what a frequency limitation is. Working knowledge of dental insurance (PPO, verification, claims, EOBs) Experience with practice management software (CareStack preferred; Dentrix, Open Dental, Eaglesoft also accepted) Strong phone and interpersonal skills High school diploma or equivalent Exceptionally organized. Nothing gets lost, nothing gets forgotten. Confident on the phone. Warm but efficient, not reading a script.
Comfortable with money:
collecting payments, discussing costs, managing accounts receivable Proactive. You identify problems before they become crises. You speak up when something isn't working Nice to Have (Not Required) Experience in a startup or small practice Bilingual (Spanish, Chinese, Amharic, or Korean especially valuable) Experience with patient financing platforms Familiarity with CareStack specifically Clinical background or dental knowledge What You Get Milestone-based raises tied to demonstrated competence, not seniority. Modern digital systems. CareStack cloud PMS, Mango integrated phone/text, electronic claims, digital patient portal. Not paper charts and a fax machine. Dental care at no cost for employees.
