Clinic Manager Starting Salary:
Base Pay of $60,000/year + Performance-Based Bonuses, with opportunities for increased compensation and responsibility. We are seeking a Clinic Manager who will lead our team, oversee daily operations, and ensure our systems, culture, and patient experience are executed at the highest level. The Clinic Manager serves as the direct manager for all clinic staff and providers (excluding the owner) and oversees the full employee lifecycle, including recruiting, hiring, onboarding, coaching, performance management, disciplinary action, and, when necessary, termination. This is a leadership position for someone who takes initiative, solves problems, creates structure, and drives a growing clinic forward. Who We Are Chesapeake Acupuncture & Integrative Medicine (Chesapeake AIM) is a rapidly growing, results-driven integrative medical clinic specializing in complex and chronic conditions that haven't responded to standard medical interventions. Our goal is to reduce pain and suffering and help patients regain their quality of life through a combination of advanced therapies and traditional medicine. We deliver comprehensive care and a five-star patient experience at every touchpoint. Our Mission To serve as many patients as divinely possible, to improve their lives by expressing their potential; reducing pain and suffering wherever possible by applying the principles of Chinese Medicine and combining these principles with advancing technology to enable our patients to live their lives to the fullest. The Role We are seeking a Clinic Manager to take ownership of all day-to-day operations of the clinic. This is an on-site leadership role. While the clinic operates Monday through Friday, the Clinic Manager should expect some evening and weekend responsibilities as needed to complete time-sensitive priorities and ensure the clinic continues to operate at a high standard. This position reports directly to the owner. The Clinic Manager is expected to make independent decisions, solve problems proactively, and lead with a high degree of autonomy. What You'll Be Responsible For Team Leadership & Accountability - Responsibilities Serve as the direct manager for all clinic staff and providers. Recruit, interview, hire, onboard, train, coach, develop, and when necessary, terminate employees in alignment with clinic values and expectations. Conduct regular team meetings, one-on-one meetings, performance reviews, and coaching conversations. Hold team members accountable to performance expectations, KPIs, and behavioral standards. Address performance concerns promptly through coaching, documentation, and corrective action when appropriate. Foster a culture of ownership, professionalism, communication, and continuous improvement. Ensure clear communication and collaboration between front office and back office teams.
Success in this area includes:
Maintain 90%+ employee retention through effective leadership, coaching, and team development. Fill open positions within 30-45 days while maintaining a high hiring standard. Complete onboarding for all new hires within 30 days and ensure they demonstrate competency in their assigned responsibilities. Conduct 100% of scheduled one-on-one meetings, team meetings, and performance reviews on time. Ensure 100% completion of required staff training and competency checklists. Operations & Systems Ownership - Responsibilities Take ownership of the clinic's day-to-day operations, ensuring consistency, efficiency, and excellence. Identify inefficiencies, solve problems proactively, and implement process improvements. Develop, refine, and optimize systems and workflows to support continued growth. Ensure operational accuracy, follow-through, and accountability across all areas of the clinic. Maintain high standards of organization, quality, and execution.
Success in this area includes:
Complete 90%+ of strategic projects and operational initiatives by established deadlines. Identify, implement, and document operational improvements that increase efficiency, consistency, and scalability. Reduce operational errors through strong systems, training, and accountability. Patient Experience - Responsibilities Ensure every patient interaction is warm, professional, personalized, and detail-oriented. Maintain and continuously elevate Chesapeake AIM's five-star patient experience. Address patient concerns promptly, professionally, and with genuine care.
Success in this area includes:
Acknowledge patient concerns within one business day and resolve them within five business days whenever possible. Maintain a consistently exceptional patient experience while fostering a culture of ownership, professionalism, communication, and continuous improvement. Your First 90 Days During your first 90 days, you will: Learn our systems, workflows, and patient experience standards Work closely with the owner and leadership team Gain a deep understanding of our operational processes Begin identifying inefficiencies and opportunities for improvement Gradually take ownership of team accountability, systems oversight, and daily clinic operations You will be supported through structured onboarding, ongoing feedback, and clear expectations designed to help you succeed in the role. Both in-house and external training will be provided.

Requirements Must-Have 3+ years of experience directly managing a team with full responsibility for hiring, onboarding, coaching, performance management, and employee termination. Demonstrated ability to lead, motivate, and develop a high-performing team. Experience working in a medical practice or other fast-paced professional office environment. Strong organizational skills with exceptional attention to detail. High level of technical proficiency and the ability to quickly learn EHRs, phone systems, CRM platforms, and new software. Excellent written and verbal communication skills with a calm, professional, and emotionally intelligent demeanor. Proven ability to make independent decisions, solve problems proactively, and take ownership of outcomes. Reliable professional references. Preferred Experience in integrative medicine, functional medicine, concierge medicine, or other patient-centered healthcare settings. Experience delivering exceptional service in luxury, concierge, hospitality, or other premium client-focused environments.
