We're looking for a Patient Care Coordinator / Office Manager who brings warmth, structure, and leadership to every interaction. Someone who doesn't just help patients get scheduled, but helps keep the entire clinic organized, efficient, and moving forward. Someone who doesn't just support the front office, but helps strengthen the systems, communication, and operations behind the scenes. This role isn't about sitting at the front desk answering phones all day. It is about being the operational heartbeat of a clinic that believes in accountability, efficiency, and care that starts before the first visit and carries through every interaction.

If you love structure, problem-solving, and helping a growing clinic operate at a high level, this role is for you.What You'll Do Patient Coordination & Early Morning Front Office Coverage:
Provide front office support during the early part of the day, including helping answer incoming calls and assisting with patient scheduling needs from 7am to 10am . Support new patient intake and help ensure a smooth, professional experience for patients reaching out to the clinic. Assist with follow-up communication and scheduling coordination as needed to support clinic flow and continuity of care. Help maintain an organized, efficient schedule while working alongside the existing team structure.Insurance & Financial Coordination:
Verify insurance benefits and seure authorizations accurately Explain coverage, deductibles, and copays with clarity and confidence. Collect payments and support smooth financial communication with patients. Help maintain accuracy throughout the patient financial process.Billing & Collections Support:
Assist with patient billing, collections, and payment tracking. Support in-house billing processes and financial accuracy. Help manage workflows related to workers' compensation and auto cases when applicable. Reconcile balances and support day-to-day revenue operations.Case Management & Data Accuracy:
Enter and maintain accurate patient information in the EMR. Track authorizations, deadlines, and compliance requirements. Keep patient records complete, organized, and up to date. Support timely documentation and communication across the care process.Front Office Operations & Leadership:
Oversee daily front office operations and support smooth clinic flow. Manage scheduling, calendars, and staff coordination, including PTO tracking. Communicate with the clinical team throughout the day to keep operations running well. Identify inefficiencies and help improve systems, workflows, and processes.Performance & Growth Contribution:
Track KPIs, scorecards, and performance metrics. Participate in team meetings and contribute ideas for clinic growth. Support a culture of accountability, follow-through, and high standards. Have 3+ years of experience in a healthcare front office, PT clinic, or medical setting. Understand insurance verification, authorizations, and billing workflows. Have experience with EMR systems, Excel, and communication tools . Can manage moving pieces while maintaining a strong patient experience. Are highly organized and detail-oriented with strong follow-through. Are comfortable leading operations and contributing to team performance.
