This vital role involves managing front desk operations, providing exceptional customer service, and supporting administrative functions to ensure smooth daily operations. The ideal candidate will possess excellent communication skills, a positive attitude, and the ability to multitask efficiently in a dynamic environment. Bilingual abilities and experience with office management tools are highly valued to enhance our team's effectiveness. Duties Greet visitors, clients, and staff with professionalism and warmth, creating a positive first impression Answer multi-line phone systems promptly and courteously, directing calls accurately and efficiently Manage front desk responsibilities including scheduling appointments, maintaining calendars, and handling incoming correspondence Perform data entry, filing, and document proofreading to ensure accuracy and organization of records Utilize computer skills with Microsoft Office, Google Workspace, and other office management software to support daily operations Assist with bookkeeping tasks using QuickBooks or similar accounting software when needed Support administrative tasks such as photocopying, faxing, mailing, and managing office supplies Maintain a clean and organized reception area while adhering to office protocols for confidentiality and security Experience Proven experience in office administration or clerical roles, preferably as a receptionist or personal assistant Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools Excellent phone etiquette with experience handling multi-line phone systems in a professional setting Demonstrated organizational skills with the ability to prioritize tasks effectively and manage time efficiently Previous experience in healthcare or dental reception is a plus, including familiarity with medical or dental office procedures Experience with data entry, filing systems, proofreading documents, and basic bookkeeping using QuickBooks or similar software Join us in creating a welcoming environment where professionalism meets efficiency!
