Job Description

Overview Join our growing multispecialty healthcare team. You will support patients, physicians, and clinical teams across spine, orthopedics, pain management, and wellness services while helping maintain efficient administrative operations and an excellent patient experience. We are seeking a compassionate, dependable, and organized professional with strong communication and customer-service skills. Montvale, New Jersey, is the primary administrative location. Coverage at clinical locations is required as needed, with more distant locations requiring less frequent coverage on a rotating basis. Responsibilities Responsibilities include, but are not limited to: Schedule, confirm, and coordinate appointments and follow-up care Welcome, check in, check out, and assist patients throughout their visits Answer telephone calls, manage messages, and respond to patient inquiries Assist patients with registration, medical-history, and consultation forms Enter and maintain accurate information in the electronic health record Coordinate consultation records, referrals, and supporting documentation Coordinate with insurance-verification, prior-authorization, surgical-coordination, and billing departments Collect and document patient payments Prepare claims and payment documentation and route it to the appropriate departments Provide patient instructions and administrative support as directed by the provider Provide time-sensitive patient support after hours when assigned Maintain an organized and welcoming front-desk and reception area Protect patient confidentiality and comply with HIPAA and company policies Cover all required locations Requirements Professional proficiency in English and Spanish Ability to reliably cover our locations Strong communication, organization, computer, and patient-service skills Ability to multitask and manage competing priorities Ability to maintain professionalism, accuracy, and confidentiality in a fast-paced medical environment Preferred Qualifications At least one year of medical front-desk, administrative, medical assisting, customer-service, or comparable healthcare experience Experience using electronic medical record and scheduling systems Medical Assistant certification High school diploma or GED Schedule Full-time Monday through Friday Generally eight-hour shifts Availability to cover certain Saturdays Additional flexibility based on physician and patient scheduling needs Compensation $3,000-$4,000 per month Final compensation will be based on experience, certification, and demonstrated competencies. Current Locations New Jersey Montvale — primary administrative location Maplewood Paramus Hazlet New York New York Brooklyn Bronx Staten Island Utica — approximately once every three months Locations may change as operationally necessary. Location-Coverage Preference Availability to participate in rotating coverage across all current and future locations is strongly preferred. Applicants who can reliably cover all locations will receive stronger consideration than applicants with location restrictions. Travel Approved travel associated with secondary-location coverage will be reimbursed according to applicable law and company policy. For scheduled Utica coverage, overnight lodging and additional bonus compensation will be provided. Experience:
Medical administrative support: 1 year (Preferred)
