Pay Rate:
Starting at $22 per hour plus commission on high ticket aesthetics and wellness services About the Role The Patient Experience Coordinator is the face of the center and the first point of contact for every patient. You own the front desk experience from check-in to check-out, keep the schedule running efficiently, and help patients understand the services, memberships, and programs that fit their goals. This role combines customer service, administrative coordination, and a meaningful contribution to rebooking and membership growth. About 4Ever Young 4Ever Young specializes in aesthetic, anti-aging, and wellness treatments that help patients look and feel their best. Our Westfield center is a new location, which means you'll help shape the patient experience from the ground up alongside a team that values professionalism, personalized care, and attention to detail. What You'll Do Patient Experience Greet every patient warmly and professionally and manage check-ins and check-outs Address inquiries in person and by phone, and communicate patient needs to clinical staff as necessary Ensure all intake paperwork and consents are completed prior to treatment Keep the front desk and lobby clean, organized, and stocked to reflect the center's standards Scheduling and Administration Schedule and confirm appointments, manage waitlists, and optimize the daily schedule for efficiency and rebooking Maintain accurate patient records in the EMR system in compliance with HIPAA Track and manage front desk supplies Assist with community and center events as needed Sales and Retention Educate patients on medical and aesthetic services, promotions, memberships, and loyalty programs Recommend additional services and products where appropriate during patient interactions Collaborate with providers to meet rebooking and retention goals How Success Is Measured Patient satisfaction and loyalty scores Appointment rebooking rate Membership conversion percentage Accuracy of scheduling and documentation What You Bring Prior experience in a customer-facing role (front desk, reception, hospitality, retail, or similar) Genuine interest in health, wellness, and aesthetics Exceptional customer service and interpersonal skills Strong organization, multitasking, and problem-solving abilities, including handling scheduling conflicts and patient concerns with professionalism Ability to stay composed in high-pressure situations Proficiency with scheduling software and EMR systems, or the ability to learn them quickly Basic familiarity with medical and aesthetic services, or the willingness to develop it, to confidently answer patient questions Positive attitude and team-first mindset Flexible availability, including some evenings and weekends Compensation Base pay range of $22/hr, depending on experience and qualifications. Additional compensation opportunities, such as sales commission and performance bonuses tied to rebooking and membership goals. This role offers a path to leadership positions within the center.
