In our Patient Concierge role, you will be responsible for providing administrative and clerical assistance to ensure the efficient operation of the medical spa. You will support the manager, providers, and patients through a variety of tasks related to the patient care experience. Answering Phones, Booking, Check in, Rooming Patients, Preparing Invoices, Checking out, Rebooking, Education, Product Knowledge, and maintaining practice compliance. Each day it is expected that our team completes all duties with a high level of accuracy and multi-tasking in an efficient manner. Job Duties:
Welcome patients and other guests upon entering the medical spa. Provide excellent customer service through phone etiquette. Check voicemails, return calls, answer inbound calls/ text messages for scheduling and make outbound calls, emails, and text messages for patient scheduling, follow up, and retention. Schedule patients and accurately input and verify patient information. Prepare all invoices for patient check out including coordinating patient rewards points. Manage rewards programs and points for patients and reach out to patients to rebook appointments. Utilize technology skills to quickly learn and efficiently navigate the Patient Now software to schedule, communicate, and check out patients. Prepare patient charts, consents, and documentation for treatments a day in advance. Provide patients with appropriate documentation upon appointment arrival. Provide patient education and sales about skin care, products, and aesthetic treatments. Provide value and educate our patients regarding our approach, and our processes, all post care information, promotions, and financing/payment options available. Act as a liaison between the patient and clinical team by keeping the lines of communication open and flowing for an excellent patient experience. Count money and conduct end of day close out reports. Keep the front desk presentable and organized at all times. Prepare to take videos and pictures for providers as needed for social media marketing. Conduct outbound lead retention phone calls to book and set appointments. Assist with requested inventory and product ordering as needed. Prepare and clean treatment rooms for providers as needed. Update and upload medical charts as needed. Bilingual Related Healthcare Experience (Plastic Surgery,Med Spa, Derm)
