Position Summary:
Thrive Wellness is seeking a Medical Biller / Patient Accounts & HLOC Coordinator to support patient accounts, Higher Level of Care (HLOC) and Residential Treatment Center (RTC) financial coordination, referrals, and insurance authorizations. This is not a traditional full-cycle medical billing position . The role supports specific areas of the revenue cycle, with a primary focus on working directly with clients and families, coordinating financial responsibility for

services, managing referrals and authorizations, and assisting with routine patient account needs.
The ideal candidate is organized, comfortable discussing financial responsibility with clients and families, familiar with health insurance benefits, and able to coordinate multiple accounts and payer requirements with consistent follow-through.
Qualifications:
High School Diploma (or equivalent), Associates or higher preferred. Excellent communication skills. Previous experience in patient accounts, medical billing, healthcare financial coordination, referrals, or prior authorizations preferred. Experience working with commercial insurance and Medicaid preferred. Behavioral health, eating disorder, PHP, IOP, RTC, or other HLOC experience is a plus. Understanding of health insurance benefits, including deductibles, copayments, coinsurance, and out-of-pocket maximums. Comfortable discussing patient financial responsibility and payment arrangements with clients and families. Familiarity with medical terminology, CPT, HCPCS, ICD-10, and revenue codes is helpful but not required. Experience using EHRs, payer portals, billing systems, or healthcare CRM systems. Strong written and verbal communication skills. Excellent organization, attention to detail, and follow-through. Ability to manage multiple accounts, deadlines, and payer requirements simultaneously. Medical billing or revenue-cycle certification is a plus but not required.

Duties:
Patient Accounts & Financial Support Serve as a primary contact for routine patient account questions, including balances, statements, payments, insurance processing, and general billing inquiries. Explain deductibles, copayments, coinsurance, out-of-pocket maximums, and estimated patient responsibility. Provide financial counseling to clients and families in a clear, compassionate, and professional manner. Collect patient balances and assist with establishing payment arrangements. Process and document patient payments, refunds, and account adjustments as assigned. Research and help resolve patient account discrepancies. Maintain accurate documentation of financial communications and account activity. Escalate complex billing or insurance issues to appropriate Business Office staff.
HLOC & RTC
Financial Coordination Coordinate financial clearance for clients entering IOP, PHP, RTC, and other Higher Levels of Care . Review insurance benefits and estimated patient responsibility prior to admission. Communicate financial expectations to clients and families before admission and throughout treatment. Establish, document, and monitor payment arrangements, installment plans, and required pre-payments. Conduct proactive follow-up regarding outstanding patient responsibility. Monitor
HLOC/RTC
patient accounts throughout the treatment episode. Coordinate financial needs when clients transition between levels of care. Collaborate with Admissions, Utilization Review, Clinical teams, and the Business Office to address financial or insurance barriers. Escalate high-risk or non-compliant accounts according to organizational procedures. Referrals & Intake Coordination Review outpatient referrals and intake information for completeness and accuracy. Ensure required physician orders, referral documentation, insurance information, and supporting records are received when applicable. Coordinate with referring providers, clients, clinical teams, and insurance carriers to resolve missing referral requirements. Track referral status and communicate outstanding requirements to appropriate internal teams. Maintain accurate referral documentation within applicable systems. Insurance Authorizations Identify authorization and referral requirements for applicable outpatient services. Submit and track prior authorization requests with insurance carriers. Obtain necessary documentation from providers and internal teams to support authorization requests. Monitor authorization status, effective dates, approved services or units, and expiration dates. Follow up with payers regarding pending or incomplete authorizations. Communicate authorization approvals, denials, limitations, and outstanding requirements to appropriate teams. Assist in resolving authorization barriers that may delay services. Medical Billing Support Assist with routine billing and patient-account functions as assigned. Review insurance and account information for accuracy. Assist with researching payer or patient account discrepancies. Maintain accurate documentation within billing and electronic health record systems. Route complex claim, coding, denial, or payer issues to appropriate billing staff. Documentation & Compliance Maintain complete and accurate documentation of patient account, financial, referral, and authorization activity. Protect patient information and maintain compliance with HIPAA and organizational confidentiality requirements. Assist with documentation and medical-record needs related to billing, referrals, and authorizations. Support Business Office account reviews and audits as needed.
Working Conditions:
This position operates primarily in a healthcare office environment and requires regular computer and telephone use. The employee will communicate frequently with clients, families, insurance companies, providers, and internal teams. Occasional schedule flexibility may be required to support admissions, authorization deadlines, or other time-sensitive client needs.
