Job Description

Patient Care Coordinator/Front Office Manager - Hearing Healthcare Able Hearing is a local hearing healthcare practice committed to providing exceptional hearing care and an outstanding patient experience. We are looking for a friendly, organized, motivated, and dependable Patient Care Coordinator to join our team. The PCC/Front Office Manager plays a critical role in the success of our clinic. As the first point of contact for our patients, you will help create a welcoming and professional environment while keeping the office organized, the schedule productive, and patients engaged in their hearing healthcare. This position is ideal for someone who genuinely enjoys working with people—especially seniors—and is comfortable balancing excellent customer service with the responsibility of helping keep the clinic schedule full. What You'll Do Warmly greet patients and create a positive experience from the moment they enter the clinic. Answer incoming phone calls promptly, professionally, and courteously. Schedule, confirm, reschedule, and manage patient appointments. Maintain an organized and productive clinic schedule. Make outbound calls to prospective and existing patients to schedule appointments and follow up on hearing healthcare needs. Contact patients who are due or overdue for follow-up care. Assist with patient retention, reactivation, and referral efforts. Ask satisfied patients for referrals and help build long-term relationships within the community. Accurately enter and maintain patient information in our practice management/CRM software. Collect insurance information and necessary documentation from patients. Verify insurance eligibility and benefits when applicable. Collect, process, and accurately record patient payments. Maintain accurate and confidential patient records. Coordinate patient flow and communicate effectively with clinical staff. Maintain office supplies and ensure the front office remains organized and professional. Assist with other administrative and patient-care responsibilities as needed. What We're Looking For Our ideal candidate is someone who takes ownership of their position and understands that the front office has a major impact on both the patient experience and the success of the clinic.
Qualifications include:
Excellent interpersonal and customer service skills. Professional, friendly, and confident communication skills in person, over the phone, and in writing. A genuine desire to work with and serve senior patients. Strong organizational and time-management skills. Comfortable making outbound calls and speaking with patients about scheduling appointments. Self-motivated and proactive rather than waiting to be told what needs to be done. Ability to multitask and prioritize responsibilities in a busy office environment. Strong attention to detail and accuracy. Ability to work independently while also collaborating effectively with providers and support staff. Ability to interact with patients using tact, patience, courtesy, and discretion. Comfortable learning and using technology and practice-management software. Working knowledge of Microsoft Word and Excel and Google Workspace. High school diploma or equivalent required. Associate degree preferred but not required. Previous medical, dental, hearing healthcare, or other healthcare front-office experience is preferred but not required.
